Your Role and Responsibilities
IBM Global Real Estate is looking for a talented individual in the area of space strategy and planning to support site operations at the Thomas J. Watson Research Center. The Watson site serves as the headquarters of IBM Research one of the largest industrial research organizations in the world. Scientists at T.J. Watson are pioneering scientific breakthroughs across todays most promising and disruptive technologies including the future of artificial intelligence, blockchain and quantum computing. Yorktown Space Strategy and Planning:
  • Yorktown Space Strategy and Planning Staff position to support the day to day operations at the T. J. Watson Research Facility. Candidate will need strong communications, IT database, spreadsheet, and organizational skills and will be expected to provide space solutions and advice and counsel to on site management.

Key responsibilities include:
  • Work with Research client base to support the development of business driven site space strategy. This includes developing space solution alternatives and recommendations to Global Real Estate and site executive management.
  • Work with Research clients and Global Real Estates Project Delivery and Site Operations teams to recommend applicable space solutions during the upfront project programming phase.
  • General space management: Lab and office space negotiations, reassignments, strategic solutions for group moves and project demands.
  • Weekly employee / space data collection and tracking.
  • Initiate and work with site vendors to execute all site moves and changes to office and lab occupancies. This includes employee office assignments, internal moves, new hires, and transfers. Accurately update applicable databases with all changes including Lotus Notes Moves database management.
  • Vacant office / lab tracking.
  • Summer intern space coordination (~180 headcount annually)
  • Utilize, review, and update applicable IT tools including Space Suite, Space Ledger, SQuirreL DB2 GUI (Graphical User Interface), Excel, MS Access (database management system), Cognos and Trirega. Have applicable Microsoft Office skills to prepare and download spreadsheets and validate data accuracy.
  • Initiate Year End Space Validation including Year End space data summary input for Finance space rate generation.
  • Work with applicable vendors and Research Finance to provide space data in preparation of monthly occupancy billing.
  • Contribute to team effort in dealing with Research and Global Real Estate solution business space needs.

Required Professional and Technical Expertise
  • Three years experience in business and administrative support in site facilities, manufacturing, research, or data center operations.
  • An understanding of space types, measurements, and billing methodology.
  • Ability to work with various IT software, databases, and Microsoft Office.
  • Demonstrated problem resolution and analytical skills, being able to quickly size up a space issue, make recommendations to management, and lead others in the implementation of space solutions.
  • Demonstrated communication skills, being able to work in a team environment with other IBMers, suppliers, vendors, and contractors.
  • Proven presentation skills to Global Real Estate and client management.
  • Associate Degree in Business, IT Data Management, or Planning

Preferred Professional and Technical Expertise
  • Five+ years in business and administrative support in site facilities, manufacturing, research, or data center operations.
  • Demonstrated ability in utilizing IT tools, databases, and Microsoft Office
  • Ability to initiate space strategy and space solutions to meet business needs.
