Job Summary

The Travel Services Planner performs duties and carries out responsibilities primarily in the following areas: serves as the primary contact for travel support for globally-located travelers to ICANN Meetings and other ICANN events; assists in facilitating the visa process for travelers; reconciles travel reimbursements and invoices; and coordinates with ICANN liaison staff.

Key Responsibilities & Duties:

  • Responsible for all aspects of researching, booking and processing global travel arrangements for ICANN funded travelers, vendors and contractors.
  • Partner with Travel Services internal stakeholders and external vendors to fulfill complex travel requests and to ensure that ICANN travel procedures, processes, and policies are applied consistently for all travelers.
  • Provide day-to-day assistance, answer travel related inquiries and provide front-line customer support and conflict resolution for all ICANN funded travelers, vendors and contractors.
  • Manage the Travel Support mailbox and ticketing system, answering emails and tickets within one business day.
  • Facilitate the processing of international visas for staff, funded travelers, vendors and contractors.
  • Process and reconcile travel reimbursements and other invoice payments.
  • Serve as liaison between ICANN Staff and travelers.

Required Knowledge, Skills, and Abilities (KSAs):

  • Excellent skills in:
    • Interpersonal communications
    • Online travel booking tools - knowledge of Concur Travel desirable
    • Customer service experience
    • Business writing and communications
    • Excel, Word, and Outlook for MAC (Apple products)
    • Google Sheets knowledge desirable
  • Broad knowledge and experience in:
    • Corporate international travel
    • Accounting/Finance discipline
    • Project Management
    • Constant Contract or third-party marketing communication tools
    • Volunteer travel management platforms, such as EventsAIR
  • Demonstrated ability to:
    • Multitask and prioritize work, with timely follow-ups.
    • Thrive in a fast-paced environment with high pressure periods.
    • Work with travelers and arrangers in an attentive and solution-oriented manner.
    • Work in a detailed oriented and organized fashion.
    • Be able to Works on assignments requiring considerable judgment and initiative.
    • Be able to make recommendations for solutions.

Education and Experience Requirements:

  • Degree: Undergraduate degree preferred.
  • Equivalent experience:
    Minimum of 5 - 6 years in the travel or hospitality industry, with emphasis on project management and customer service.
  • Fluency, both written and spoken, in English is required.
  • ICANN is a global organization that values diversity; preference will be given to candidates with demonstrated skills in additional languages besides English.
