Talent Acquisition Operations Assistant

Job Summary

Talent Acquisition Operations Assistant supports the Talent Acquisition (TA) team by providing accurate and efficient administrative support and independently handling routine transactions, while resolving more complex problems through research and consultation. Assistant will work in a fast-paced environment requiring a strong attention to detail and the ability to multitask to manage multiple projects while meeting deadlines and maintaining high quality standards.

Responsibilities Include:

  • Develop a significant understanding of the business and organization structure aligning requests to TA business objectives

  • Professional-level administrative and transactional task support, primarily data entry of new requisitions, creating offer letters to employees, and vetting candidates

  • Work closely with Hiring Managers/Recruiters/HR Ops to ensure completeness and accuracy of data for requisitions, offer letters, and background check/drug screen processes

  • Manage large case volume within established Service Level Agreements

  • Answer centralized phone line and receive/create transactions/ or monitor and answer centralized email inbox and receive/create transactions

  • Maintain statistical summary and managerial reports utilizing technology and analytical tools (e.g., IBM Kenexa BrassRing Data Insight Tool, Excel Spreadsheets, SharePoint, PowerPoint)

  • Provide logistics support for large events such as booking meeting space/conference rooms, advertising of jobs, shipping and receiving of supplies, among others.

  • Manages TA Job Fair Coordination to include registration, shipping and receiving supplies, maintaining giveaways and company data sheets, printing of materials/flyers

  • Special projects as assigned

Minimum Requirements

  • High school diploma with 3 years of related experience

  • General understanding of Human Resources administration, specifically recruiting

  • Strong desktop computing skills and experience, i.e. MS Office Outlook, Word, Excel, PowerPoint, SharePoint

  • Excellent verbal, written, and interpersonal communication skills; superior service delivery and customer service focus

  • Ability to work in a cooperative team environment

  • Skilled in managing multiple priorities; organizational and analytical skills

  • Demonstrates attention to detail

  • High level problem-solving skills, with the ability to work independently and exercise sound judgment

  • Must be a US Citizen

Preferred Qualifications

  • Advanced MS Excel experience; formulas, pivot tables, data analysis

  • Administrative experience supporting recruiting teams

  • Experience with applicant tracking system IBM Kenexa BrassRing Data Insight Tool preferred

  • Experience managing content SharePoint
