Service Administrator

Essential Duties, Critical Success Factors, Responsibilities, Authorities and Required Interactions:

  • Ensures the success of field staff and delivery of customer satisfaction by scheduling and coordinating instrument installations and training.
  • Responsible for the part ordering for engineers and work closely with planner & logistics on the delivery
  • Monitoring, scheduling and distributing of planned maintenance calls and others service calls amongst engineers.
  • Responsible for parts return to Asian Distribution center on a timely manner.
  • Create & Maintain customer database systems.
  • Responsible for Customers call handling, answering queries or redirecting calls to Engineers as appropriate.
  • Responsible for data input & maintenance of our various business systems (e.g. Oracle R12/SMAX).
  • Responsible for call center activities, especially logging customer request in Korea.
  • Responsible for filling of all related documents for audit purposes
  • Responsible for Stock take and involve in Audit
  • To support and back up team members as and when needed.
  • Administers service contract business through quotation generation, preparation of Service agreement and others documents required during quotation & signing of service agreement, invoicing, and answering customer inquiries
  • Execute on customer requests; via phone, fax, email, or other electronic means.
  • Execute reports daily/weekly/monthly; active, signed, entered, pend and all status for contract orders, and KPIs in Oracle and SFDC.
  • Support Service Sales Team in SFDC (Salesforce system) funnel management.
  • Execution and improvement; generate quotations for new, renewals, modifications, and terminations.
  • Drive revenue recognition orders; generate service contract orders for new, renewals, modifications, and terminations.
  • Other ad hoc duties as assigned

    Education and/or Work Experience Requirements:

    • Minimum Diploma certification or equivalent
    • Min 3 years€™ experience of relevant experience
    • Experience in managing complex tasks, good communications and organizational Skills.
    • Self-driven and work under minimum supervision.
    • Experience in Oracle ERP & Basic Microsoft office is preferred
    • Demonstrate ability to organize work efficiently, productively and independently; detail-oriented.
    • Excellent communication skills to liaise with colleagues from different functions overseas.
    • Excellent spoken and written skills in English
    • Responsible with positive attitude who able to work independently and a team player
    • Experience in handling tender documents required by government customer will be added advantage
