The Senior Executive Assistant provides support to the Chief Sustainability Officer (CSO)and the global Sustainability & ESG team.


The Senior Executive Assistant plays a critical role in keeping the CSO organized, managing day-to-day changes as well as forward-looking planning, and partnering closely with the leadership team. The Senior Executive Assistant will have continuous contact and communication with a wide range of internal and external stakeholders including senior management, investors, regulators, senior leaders, employees, clients, consultants, government officials, NGOs, and other partners.


The ideal candidate should be someone who thrives in a fast-paced environment, is highly organized and detail-oriented, a quick learner, adept at technology, able to anticipate needs and is interested in sustainability. Duties require the highest level of discretion and independent judgment. Must be able to manage complex calendars, handle correspondence, arrange meetings and video/conference calls, coordinate travel and execute other administrative tasks.


**Responsibilities:**


Day-to-day:


+ Efficiently manage calendar, materials, travel, and all other needs

+ Ensure that calendar is comprehensive and complete well in advance, including all materials, background, talking points and any other information

+ Coordinate all aspects of senior-level appointments, meetings, events and video/conference calls and maintain frequently changing calendars with accuracy and precision

+ Handle incoming calls and inquiries; process and follow up on all requests


Long-term:


+ Support department budget and invoicing via the internal P2P invoicing system, and the onboarding of new suppliers to Citi systems

+ Support employee engagement programs specifically the internal Green Champions team and Earth Day campaigns

+ Onboard new team members with the support of IT and HR functions

+ Monitor and track activities for the Managers Control Assessment (MCA) quarterly and annual reporting

+ Coordinate domestic and international travel arrangements; prepare and distribute schedules/agendas for travel

+ Prepare, reconcile, and track expense reports through Citis Travel and Expense (CTE) system; review leadership teams expense reports and advise on travel and expense

+ Order supplies and process invoices through P2P invoicing system


As needed:


+ Assist with creation of and/or edit and proofread presentations, spreadsheets, reports, announcements, and documents

+ Understand how this senior role and the responsibilities fit in and interact with senior leaders across Citi globally

+ Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firms reputation and safeguarding Citi, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency


**Qualifications:**


+ 7+ years experience; previous office administration experience preferable

+ Works well in a team environment and collaborates with other executive management offices

+ Highly proficient in Microsoft Office, Word, Excel, Power Point, Outlook

+ Early technology adopter

+ Significant senior-level executive admin experience for high functioning leader

+ Consistently demonstrates clear and concise written and verbal communication skills

+ Self-motivated and detail-oriented

+ Positive attitude and strong work ethic

+ Excellent organizational skills and ability to work proactively without close supervision


**Education:**


+ Bachelor's degree or equivalent experience
