UW Medicines mission is to improve the health of the public by advancing medical knowledge, providing outstanding primary and specialty care to the people of the region, and preparing tomorrows physicians, scientists and other health professionals.  UW Medicine owns or operates Harborview Medical Center (HMC), Northwest Hospital & Medical Center (NWH), Valley Medical Center (VMC), UW Medical Center (UWMC), a network of UW Medicine Neighborhood Clinics (UWNC) that provide primary care, UW Physicians, UW School of Medicine, Airlift Northwest, and other owned, operated or affiliated entities as appropriate. In addition, UW Medicine shares in the ownership and governance of Childrens University Medical Group and Seattle Cancer Care Alliance a partnership among UW Medicine, Fred Hutchinson Cancer Research, and Seattle Childrens.

UW Medicine has an outstanding opportunity for a Program Operations Specialist of Community Care Line, Transfer Center, & Medcon.  This individual will be the Administrator of applications, systems, and reporting for the Community Care Line, Transfer Center and Medcon. The Program Operations Specialist will also be responsible for managing the Work at Home Program.  The position will act as a liaison for outside vendors and multiple UW Medicine Departments.


Transfer Center Applications, Systems, & Reporting:
  • Oversee the D1 transition from N-Centaurus to EPIC.
  • Maintain and provide analysis of large amounts of data utilizing Excel spreadsheets; ensure clean data reporting.
  • Complete 19 reports from N-Centaurs and EPIC; distribute reports to multiple departments, Medical Directors, and Executive Leadership.
  • Ad hoc report requiring prioritization and often quick turnaround.
  • Act as Lead with a Program Coordinator to manage data and build new reports.
  • LVM (Centaurus)-Manage, maintain, and test using HL7 and SQL.
  • Liaison for the department with LVM and EPIC.
  • Super user and acts as a staff resource for troubleshooting and orientation.
  • Design or modify screens and reports to implement improvements.
  • Establish schedule and perform database maintenance.
  • Customize, modify, or design SQL reports for submission to LVM for the Transfer Center and Epic Clarity for the Community Care Line.
  • Manage LVM relationship and monitors contract to assure that the Transfer Center does not exceed hours allowed by the contract.
  • Primary liaison to UWM IT, Communication Services and Radiology.
  • Provide assistance and training for staff to gain maximum efficiency from system applications.

  • Medcon:
  • Oversee the MEDCON Program which is responsible for facilitating outside providers requests to consult with UW Medicine Specialists.
  • Assist with planning a budget for the program.
  • Work with U-Link Team, attending meetings; offer suggestions/recommendations.
  • Provide Medcon reports for the Associate Medical Director.

  • Work at Home Program:
  • Ensure that staff understand and comply with the Work at Home policies and procedures, including obtaining required paperwork signatures. 
  • Assist staff setup, explain requirements such as internet and phone line connections, order equipment, and track who has which equipment.
  • Troubleshoot systems issues and coordinated communication of planned maintenance for VMWare, Pulse Secure, ORCA and Epic.

  • Projects:
  • Project management for assigned projects, including development of QA tracking and monitoring system; serve as liaison with Radiology/Cardiology.

    Perform other related duties as assigned.


  • Bachelor's degree in Health or Business related field AND 4-6 years of work experience with at least two years relevant experience in healthcare information systems, including large EMR Applications.
  • Effective knowledge of healthcare industry, trends and coming policy changes.
  • Excellent oral and written communications skills, with the ability to influence a wide range of management and staff levels, both inside and outside of UW Medicine.
  • Proven track record presenting solutions to complex scenarios in straightforward, formats using both oral and visual methods to influence executive decision-making.
  • Proven record of well-developed analytical, communication, interpersonal, and problem solving skills including tolerance for ambiguity.
  • Knowledge of project management methodologies and experience managing multiple projects.
  • Maintains a personal philosophy of continuous process improvement.
  • Takes a proactive approach to job functions; anticipates problems and seeks solutions.
  • Ability to work independently with minimal supervision and manage multiple priorities.
  • Commitment to executing initiatives with great attention to detail and with a routine, critical self-review.
  • Takes initiative in acquiring new skills and increasing proficiency for personal effectiveness.
  • Direct experience with EPIC EMR applications.
  • Advanced proficiency of MS Office key are Power Point and Excel, thorough computer skills and effective time management skills.

  • An equivalent combination of education and experience may substitute for stated requirements.


  • Master's degree in Healthcare Administration, MBA, or related degree preferred.
  • Experience in a large complex healthcare or academic healthcare setting preferred.
  • Solid working knowledge of technical infrastructure and process, including: servers/storage, networks, configuration and change control, data warehouse and reporting technology, data conversion, system integration, HL7 interfaces, and testing.
  • Clinical or healthcare operations experience (e.g. nursing, lab or radiology operations, etc).
