The UWMC Department of Public Safety has an outstanding opportunity for a part time temporary/hourly PROGRAM ASSISTANT. This position will perform front desk work requiring knowledge and experience of various photo ID systems, key control inventory programs, lost & found databases, access control programming software, locker assignment databases, and Husky Card operations.  Use superior customer service skills in dealing with people.  Able to assess situations, anticipate challenges and resolve conflicts using quick, accurate judgments. Organize and perform work related to DPS program operations independent of the daily administrative office needs of the supervisor.  Positively represent the DPS program to customers including staff, patients, visitors and vendors.

Job Duties & Performance Standards

Serve as primary contact with DPS program customers; provide information regarding program policies and activities; perform a variety of public relations functions.
Perform the day-to-day activities of the business office of the Department of Public Safety; provide program support to the Director while working closely with the staff of the medical center.
Perform duties associated with specialized programs including Lost and Found (cataloging, inventory control & recovery), key control (inventory, distribution & work orders), Husky Cards, proximity cards, photo IDs, locker assignments and database management.
Assist program supervisor in maintaining inventory and ordering supplies needed to support Public Safety.
HR issues; employee evaluations, hiring, promotions, discipline, termination of front desk staff
Assign duties and schedule shifts, train and evaluate staff; back subordinates at front desk when necessary/appropriate.
Recommend procedures/methods for improved department efficiency relating to lost & found, key control, proximity cards/employee ID, Husky cards, locker assignments, etc.
Perform CAAMS (Computer Automated Access Management System) functions including programming of access control cards.
Assist supervisor maintain departmental personnel and payroll records and timekeeping.
Assist supervisor with vendor and contract management including photo ID systems, access control systems and key control systems.
Demonstrate the ability to effectively prioritize tasks and manage time and complete projects in a timely manner.
Perform related duties as required.

Desired Qualifications:

High school graduation or equivalent and two years of full time clerical or front desk experience; possession of a valid driver's license; no previous felony convictions.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Able to communicate effectively in English, both verbally and in writing.
Physical ability to do required work.
Ability to work under stress in a busy and potentially hazardous environment.

Minimum Qualifications:     

High school graduation or equivalent


Two years of full-time clerical experience


Equivalent education/experience.
