Job Summary:

The Product Development Coordinator supports the Product Development team in their creation and merchandising of all Hardlines products, such as Toys, Collectibles, Games, Consumer Electronics, Costumes, Stationery, Artwork, etc. The role provides general administrative support to the department, working cross-functionally to onboard new partners as well as coordinating communication with internal and external partners.

Responsibilities:

  • Initiate the onboarding process, coordinating with the internal compliance teams to provide trainings and training documents for new licensees.
  • Provide User support and training for all accounts.
  • Provide new licensee and contract updates to Hardlines Product Development team.
  • Maintain contact database information.
  • Manage the NDA and Artwork Release Letter process for new licensees
  • Send general communication to Hardlines licensees regarding Star Wars PD Updates.
  • Create and review a wide variety of documents such as correspondence, presentations, development guidelines, organization lists, tracking forms, and various confidential documents; proof, edit and transcribe appropriate documents.
  • Assist with creation and distribution of newsletters and presentations
  • Maintain files and storage of Product Development materials, including packaging, reference samples, print proofs, and other physical samples.
  • Process incoming samples (opening boxes, entering in system & delivering to the team)
  • Manage all outgoing shipments, maintaining mailing lists and providing tracking information
  • Coordinate with Business Affairs and legal teams to communicate process or guidelines updates to PD team
  • Assist with fulfillment of audio/visual and other asset and reference needs in support of Product Development team
  • Coordinate and compile merchandising requests from various internal and external clients.
  • Provide assistance to new partners to incorporate them into the Star Wars Product Development processes and procedures.
  • Coordinate acquisition and distribution of product samples and images for a variety of projects, including PD Lab, internal product reviews, PR activities, and similar projects
  • Help in coordination of larger licensee meetings, i.e. RSVPs, event setup, facility rentals, check-ins, and coordination with Security
  • Schedule on-site & off-site Licensee Meetings
  • Plan and coordinate team events and outings
  • Support Division lead on booking travel and helping with expense reports.
  • General office organization & Manage office supplies through placing orders and maintaining stock, including overall printer maintenance.
  • Partner with Work place services & IT to resolve issues as they arise.
  • Provide on-site meeting coordination Order Catering, booking rooms, registering and escorting guests, and provide tours as needed.
  • File samples and assist in the maintenance of product storage.
  • Provide general support and assistance with other Product Development related projects and operations as needed.

Basic Qualifications:

  • Requires excellent administrative skills, including strong word-processing skills and strong working knowledge of MS Word, Outlook, Google Apps, PowerPoint/Keynote, Excel and FileMaker Pro on PC and MAC.
  • Strong communication (written and verbal) skills.
  • Highly organized with an attention to detail
  • Proven ability to interact effectively and professionally with clients.
  • Willingness to learn and take on additional responsibilities as appropriate.
  • Ability to establish priorities and multi-task efficiently within a high-pressure environment while meeting strict deadlines
  • Ability to work in a fast-paced, fluid environment that has a certain degree of ambiguity.
  • Strong sense of teamwork and willingness to contribute to a positive, cooperative work environment
  • Team player with strong interpersonal and people management skills.
  • Highly motivated, self-starter and able to motivate others.
  • Ability to prioritize multiple tasks in support of overall brand strategies
  • Positive attitude

Required Education

  • High School graduate with a minimum three years administrative assistance experience required. Bachelor's degree or AA degree preferred.
