Job Summary

This individual contributor role will partner closely with internal stakeholders to drive a consistent approach towards all purchasing and sourcing activities including procure-to-pay, strategic sourcing, contract management, process and system improvement, and customer service.

This role is unique in that it does not specialize specifically on one category of procurement, but rather is responsible for facilitating excellent procurement across all categories.

Key Responsibilities & Duties:

  • Procure-to-Pay (P2P): Own and manage the procure-to-pay (P2P) process at ICANN, including reviewing and approving purchase requisitions in a timely manner via the procurement system.
  • Customer Service: Provide timely and complete customer service to stakeholders of the P2P process, including but not limited to addressing inquiries, assisting users with the requisition process, researching information in systems, collaborating with other functions and suppliers to resolve issues, troubleshooting, etc.
  • End-user training, education and communication: Lead the process for updating documentation of all procurement related training & education materials, as well as conducting periodic and adhoc training and education globally of all relevant audiences. Communicate relevant messages, tips and updates via appropriate channels (blogs, newsletter, email, etc.) periodically.
  • Procurement governance:
    • Compliance: Ensure that users of the procurement processes comply with the procurement policy and guidelines and process standardization initiatives.
    • Cost Savings: Be a champion of fiscal responsibility. Support the creation of cost savings guidelines and definitions, as well as the measurement and reporting of cost savings across departments and the organization.
    • KPIs: Provide reporting on procurement metrics (KPIs and procurement dashboard) and activities, as needed.
    • Policies: Provide support on updating the procurement and sourcing policies, guidelines, procedures and processes. Lead the implementation and rollout of the same.
  • Spend Analytics: Conduct market and spend analysis of data across all spend categories. Interpret analyses to identify and report on areas of sourcing opportunity.
  • Strategic Sourcing:
    • Develop and conduct competitive bidding events (RFPs/RFQs/RFIs/eAuctions, etc.) using best-in-class and ethical sourcing practices, including supplier research and identification, qualification, evaluation, selection and onboarding activities.
    • Build the sourcing pipeline by identifying potential areas of sourcing opportunity via different methods; e.g. conducting spend analytics, working with the FP&A team to understand the budget forecasts, engaging with internal stakeholders to identify sourcing projects, etc.
  • Contract Management:
    • Support the successful implementation and ongoing management of a supplier contract management solution for the organization including guidelines and processes for the storage, retrieval and management of supplier contracts.
    • Lead and/or support supplier negotiations in partnership with internal stakeholders and Legal-Contracting, while providing guidance to internal stakeholders on writing best-in-class business terms for service delivery and related metrics.
  • Stakeholder Engagement: Build strong and trustworthy relationships with internal stakeholders over time by proactively and independently engaging to understand their procurement needs. Present spend analytics reports and metrics customized for stakeholders. Identify sourcing opportunities to build the sourcing pipeline.
  • Process and System Improvements:
    • Be the procurement subject matter expert; proactively analyze procurement related processes and systems in collaboration with cross functional teams (e.g. FP&A, Accounting, Accounts Payable, Legal -Contracting, and internal stakeholders) as needed and recommend improvements to increase efficiency & effectiveness.
    • Support periodic implementations, maintenance and upgrades of procurement systems (Oracle Cloud ERP, Jaggaer, etc.) in partnership with IT.
  • Supplier Relationship Management (SRM):
    • Support the rollout of a supplier relationship management program.
    • Support the creation and rollout of a supplier code of conduct process for all suppliers.
  • Adhoc projects and reporting as needed.
  • Other duties as assigned or requested.

Required Knowledge, Skills, and Abilities (KSAs):

  • Strong knowledge of Procurement, Procure-to-Pay (P2P) lifecycle, Strategic Sourcing best practices.
  • Ability to quickly gain proficiency in new procurement systems and processes.
  • Proactive, high energy and detail/results-oriented with a bias for action.
  • High level of integrity, ethics and fiscal responsibility.

Education and Experience Requirements:

  • Minimum of 8 years of experience with a bachelor’s degree or 5 years of experience with aMaster’s/MBA Degree (Finance / Supply Chain Management / Business Administration).
  • Procurement professional certification (CPM/CPSM or equivalent) preferred.

Experience:

  • Prior experience working for an international organization, strongly preferred.
  • Minimum of 5 years of experience in procurement and/or strategic sourcing with proven track record of success in leading projects that involve process improvement and change management.
  • Required experience in using electronic procurement tools (P2P, Requisition approvals, eSourcing, contract management, spend analytics). Knowledge of Oracle Cloud a plus.
  • Required experience with training and educating procurement stakeholders and end users on the procurement processes.
  • Required strategic sourcing experience i.e. developing and conducting RFPs. Preferably in the Indirect space.
  • Required experience negotiating with suppliers and drafting best-in-class agreements (preferably for services).
  • Experience with contract management processes.
  • Experience with procurement process improvement.

Languages:

Working Conditions & Physical Requirements:

  • Work is performed in a normal office environment with limited privacy and some exposure to background noise.
  • Work Location is Los Angeles.
  • Ability to work remotely without supervision.
