Supports all aspects of Optical Inventory Management. Responsible for initiation, maintenance, and over sight of inventory controls, policies, standards, procedures and use systems to achieve accurate financial inventory information. Performs independent analytical and statistical analysis on optical financial data including vendor sales, quantities and costs to find discrepancies.

Essential Responsibilities:
  • This position, knows and complies with all Kaiser Permanente quality, safety, and emergency policies and procedures. Demonstrates quality and effectiveness in work habits and clinical practice in every interaction with patients, colleagues, providers, and leadership. Ensures patient safety in the preparation and provisioning of care related to but not limited to medications, procedures, infection prevention, fall prevention, including consistent use of two patient identifiers and procedural time outs. Reports safety hazards, accidents and incidents, and unsafe working conditions promptly.
  • Audits cash handling and inventory transactions using root cause analysis, audit data by line item, identify discrepancies in unit counts and dollar amounts. Publish findings on monthly variance reports and direct corrections as needed. Accurately maintains revenue tracking logs on a daily basis and reconciles entries to record keeping software. Also assists in performing ad hoc audits of facilities for SOX, cash handling and inventory compliance.
  • Works collaboratively with financial analyst, optical leadership, optical operations, store employees, interregional groups, optical technology services, wholesalers and vendors as necessary to integrate all resources in support of the regional inventory program and revenue accounting.
  • Daily reconciliation of regional Optical revenue results by store location and individual cash till. Reconciles cash and inventory discrepancies of optician entries against point-of-sale system and Global software and records results.
  • Works with frame buyer to resolve product supply problems.
  • Conducts random inventory cycle counts, physical inventory and cash till audits.
  • Partners with operations team to maintain systems for inventory sales.
  • Responsible for inventory retail price and cost updates regionally in all store locations.
  • Assists with promotional and seasonal planning including participation in Business promotion in the stores and the community.
  • Recommends new process improvements and assists with implementation and roll-outs of best practices. Provides direction, coaching, mentoring and leadership of improved work processes for inventory and cash management and implements new processes by working with store employees, optical supervisors, operations personnel and other staff members.
  • Maintains knowledge of and assures departmental compliance with Kaiser Permanente's Principles of Responsibility and policies and procedures, and applicable regulatory requirements and accreditation standards.
