ABOUT THE POSITION





The Office Administrator will join the People Services team. They are focused on servicing our internal team of employees at all levels in the organization as well as any visitor, client, vendor, or prospective employee of Imaginuity. The Office Administrator ensures the office runs smoothly and supports the agency in the strategic, tactical, operational, social, cultural, and business domains. The Office Administrator will influence the experience of employees and clients throughout their journey with Imaginuity. The Office Administrator will backup and support the People Services team and the Executive Assistant as needed.


 


OFFICE ADMINISTRATOR ESSENTIAL RESPONSIBILITIES


 



  • Design and¬†execute best-in-class office experiences for visitors, clients, and employees, consistent with the Imaginuity brand and voice.

  • Stay attuned to the voice of the culture and act as a liaison between employees and the executive team on the affects observed by our employees and make recommendations to enhance the office experience.

  • Facilitate and participate in fostering the agencys culture.

  • Has the ability to foresee potential challenges and is proactive in finding solutions.¬†

  • Meet the structural needs for the journey our clients have when interfacing with Imaginuity including food orders, meeting setup and takedown, and office aesthetics ensuring common spaces in the office are well-organized and tidy.

  • Use creativity to make the office experience exciting, collaborative, fun, and highly engaging.¬†

  • Responsible for in office inventory controls including monitoring and managing inventory of snacks, beverages, and all office and desk supplies while managing to a budget.

  • Interface with building management on matters related to visitor access and parking, employee concerns, maintenance requests, and other building related needs as they arise.

  • Plan and manage facility central services such as reception, security, cleaning, waste disposal, parking, and maintenance of office facilities and equipment.

  • Responsible for assisting visitors in locating and accessing the office effortlessly, sending maps and directions to visitors in advance.

  • Ensures visitors are greeted in the lobby of the building upon arrival and escorted to the lobby when exiting.

  • Ensures delivery of packages and mail are collected and securely delivered to the appropriate receiver(s).

  • Maintains a high level of confidentiality.

  • Encourage and help create a positive work environment for all employees of the agency.

  • Execute operational measures that support the accomplishment of the companys strategic goals.

  • Assists in the design of programs, procedures, and guidelines to help align employees with the strategic goals of the company.

  • Assists with internal marketing and communications strategies for best-in-class office experiences.

  • Create an immersive office experience for all stakeholders, ensuring a high level of organizational effectiveness, communication, and safety. ¬†

  • Assist the People Services team in creating a Best Place to Work experience for all employees.

  • Maintain a high level of curiosity on how our employees, clients, and future clients experience interacting with us and modify strategies as needed.

  • Serve as backup to the Executive Assistant, covering the main phone line, responding to inquiries, phone calls, and emails in order to keep the business operations running smoothly.

  • Assist the Executive Assistant in managing agendas, travel plans, and appointments for executives as needed.

  • Assist colleagues wherever there is an opportunity to do so, and other duties as assigned.



Preferred Education, Experience, and Qualifications



  • Bachelor of Arts or Bachelor of Science degree in business, technical, marketing, management, journalism, or equivalent work experience.

  • 2+ years experience as an Office Administrator, Administrative Assistant, or Front Desk Manager preferred.

  • Outstanding communication and interpersonal abilities- friendly and engaging with a hospitality mindset.

  • Cultural awareness and sensitivity.

  • High level of attention to detail and strong organizational skills.

  • Experience with web technologies and social media platform usage.

  • Proficient in Microsoft Office Suite.

  • Excellent written and verbal communication skills.

  • Demonstrated passion for learning.

  • Self-motivated with strong multitasking and time management skills with the ability to prioritize tasks.

  • No direct supervisory responsibilities are required but must demonstrate the ability to support teams in a cross-matrix organization.
