The purpose of this position is the management of the Harborview Injury Prevention & Research Center (HIPRC) programs and administrative operations.   This position reports to the Faculty Director of the HIPRC. The HIPRC administratively sits within the Department of Anesthesiology & Pain Medicine in the UW School of Medicine and is a multi-disciplinary specialty center located at Harborview Medical Center Campus.  This position is in the Patricia Bracelin Steel Building of the Harborview campus.

The individual in this position manages the operations and office management activities of HIPRC.  This position is multi-faceted, fast-paced with a high volume of programmatic work. The individual in this position must be a self-starter, expert time manager and comfortable with a myriad of different projects and operational tasks.   This position requires the incumbent to have a strong understanding of research, policy and procedures for research endeavors at the UW, training and outreach endeavors, including grants, and the knowledge to ensure full deployment and compliance of all the programs offered through HIPRC.   The individual in this position must be able to act independently and prioritize with ease and accuracy.  Day-to-day operations are not specifically assigned, and most tasks are completed relatively independently.  It is essential that this individual not allow any of the operations of the program to fall from view.
Additionally, this individual must be dedicated to superior service to customers, both inside and outside the University, and must have the full confidence and trust of the HIPRC Faculty Director and other faculty in his/her role as the management representative to all its constituents.

The major aspects of this position fall into the following categories:

    HIPRC supports 18 core faculty from multiple health sciences and academic divisions, graduate level and post-doctoral trainees, as well as support and research staff.  At present there are 20 staff members in HIPRC and range from Program Coordinator to Research Scientists, Research Coordinators, Research Consultants and Public Information Specialists.  
    HIPRC seeks a Program Manager to serve as the Center’s administrative lead.  The Program Manager must have a thorough understanding of the dynamics of cross-disciplinary and specialty research endeavors to ensure successful operational management.  The HIPRC Manager must gain the trust of faculty, trainees and staff, and be able to work with all personality types, directly with the public and outside entities to ensure the mission of the center is central to all operational activities as well as research production.  The HIPRC Manager must have awareness and ability to implement diverse programs to ensure success of the Center.

    The Harborview Injury Prevention and Research Center (HIPRC) is a worldwide leader in injury cause and prevention research. Founded in 1985, HIPRC is a multidisciplinary research center supported by the University of Washington School of Medicine and Harborview Medical Center in Seattle.  HIPRC faculty and staff are devoted to conducting research, education, and community outreach aimed at diminishing the personal impact of trauma, and broadening the effectiveness of injury prevention and treatment programs regionally and nationally. The HIPRC brings significant research funds to Harborview and the University while also increasing awareness and establishing the UW and Harborview as cutting edge research institutions in injury cause and prevention.  The collaboration of pediatric, adult and global health faculty and programs is critical in the collaborative nature of the University's research programs. HIPRC has advocated for preventions of traumatic brain injury and other areas that have led to policy changes across the country.

    Administrative & Human Resource Operations = 50%
  • Oversees all administrative functions of HIPRC
  • Supports HIPRC director to advance the mission and vision of the organization
  • Fosters a culture of collaboration, shared learning
  • Develops, implements and enforces UW and HIPRC policies and procedures
  • Manage day to day operations, develop protocols, streamline operations; ensure compliance with University policies and procedures
  • Supervise staff, delegate tasks, work with department HR to draft job descriptions, facilitate hiring and onboarding, provide job evaluations, lead regular staff meetings, and foster professional development for staff
  • Responsible for allocation of resources, including staff support for faculty, financial resources to support Center activities, and assignment of computer and office space and other facility resources
  • Assist Center Director with planning faculty and board meetings
  • Attends meetings/conference calls related to growth, development or planning  or other at Director’s request

    Financial Planning and Oversight = 20%
  • Develop annual operating budget in collaboration with Center Director, work with department staff to track and ensure appropriate financial management
  • Perform costing allocations and iterative evaluations of the budget, to be discussed with the Director
  • Regular meetings with Director on budget
  • Facilitate purchases and reimbursements charged to Center budgets
  • Partner with Center Director and UW Medicine Advancement to develop and implement fundraising initiatives and endowments, and community engagement activities that may result in financial support
  • Develops contracts and MOUs for strategic activities, and new business opportunities, and strategic planning

    Research Management = 10%
  • Serves as the administrative lead for the CDC ICRC center grant
  • Program Development –work closely with Center Director to develop and implement strategic plans for Center growth and development in research, including identifying grant opportunities, other sources of research funding and opportunities for collaboration
  • Track grant proposal submissions and awards
  • Work with Research Core to coordinate project assignments and faculty research support
  • Provide research project management assistance to faculty members, including budget planning and development, and staff hiring and supervision.

    Oversight of Education, Training and Outreach (10%)
  • Oversee summer education and research internship program, develop educational programming, recruit faculty mentors and interview student applicants.
  • Support post-doctoral trainee program
  • Supervise Visiting Scholar program for international scholars
  • Assist with programming and community outreach initiatives, serve as point of contact for community partners and support Director in establishing new community relationships.

    Communications = 10%
  • Serve as primary point of contact and maintain ongoing University and community relationships with key collaborators and partners. Act as liaison to academic and hospital administration as well as outside collaborators and other organizations;
  • Prepare correspondence, reports, and presentations.
  • Review and edit weekly news brief and monthly Center newsletter and website content to promote Center research and achievements.
  • Work closely with communications team and contracted digital media company to oversee HIPRC website design and build

    Education: BA in health sciences, business, public policy or similar
    Type and Years of Experience: 4-5 Years’ (with minimum of 4 years) progressive experience working in academic or research environment or combination of education and experience.

  • Strong interpersonal and leadership skills
  • Experience supervising professional staff.
  • Experience managing teams and promoting program development
  • Experience in project management including planning, organizing and coordinating group projects.
  • Experience interfacing with research, training, and outreach activities
  • Demonstrated ability to solve problems, take initiative, set priorities, and handle multiple projects efficiently and effectively
  • Demonstrated ability to communicate professionally in all forms of communications, e.g., verbal, and written, one-on-one and in groups.
  • Ability to contribute to a positive and collaborative work environment
  • High degree of computer literacy required, including Microsoft Office suite (Word, Excel and PowerPoint in particular)

    Desired Qualifications
  • Master’s degree in Public Health, Social Work, Law, Health Sciences, Business or Health Service Administration, or related field, highly desired.
  • Experience in public health setting desired but not essential
  • Prior administrative and/or management experience in an academic or research environment.
  • Familiarity with UW business systems, including WorkDay, MYFD, SAGE, etc.
  • Experience navigating complex systems and budgets
