Laboratory Specimen Processing Specialist (Pre-Analysis)

Responsible for time of service registration processing of central registration patient accounts, receiving specimens, confirming physician orders, obtaining the necessary information for testing specimens, preparing the specimens for testing and preparing specimens to be forwarded to other laboratories, including reference laboratories. Act as a support person for internal and external customers with regards to solving problems, answering questions and giving technical support. Assist in maintaining a positive relationship with outreach customers. Assist in and/or instruction of other personnel and medical laboratory scientist interns.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Performs registration tasks

Collect, validate and update patients comprehensive data set and document in registration system, completing electronic insurance verification and additional registration admission.

Performs reception duties

Warmly and sincerely receives patients, physicians, hospital employees and visitors to the department.

Skillfully and professionally communicates by telephone with physicians, hospital employees and other individuals who have business with department employees or pathologists.

Receives calls for frozen sections, autopsies, and consultations to be performed by Pathologists.

Responsible for locating pathologist and expeditious notification and follow up.

Supports Morgue Facility

Responsible for admission and dismissal of all decedents into the morgue, including the completion of appropriate logs and forms

As designated, notify funeral home/coroner/organ retrieval personnel.

Supports Document Retention and Distribution

Coordinates archival and retrieval of laboratory documents from record storage

Maintains records of destruction for laboratory documents

Supports Lab Supply Distribution

Fills lab supply orders for clinics and outreach accounts

Maintains records of supply orders

Performs client services in the pre-analytical specimen processing area

Process telephone and verbal orders from physicians, physician office personnel and hospital nursing staff.

Transcribe written and verbal orders into electronic medical record. Correctly determines duplicate requests, incorrectly ordered tests, and properly cancelled tests and accurately cancel credit and re-input proper tests.

Demonstrates ability to access orders in the hospital and clinic electronic health record and outreach orders system and select the appropriate orders for the correct date of service.

Enters orders for laboratory tests from manual requisitions into the electronic health record and the laboratory information system using current protocols and entering all relevant information for appropriate testing of the specimen and reporting of results to the clinician.

Acts as a support person for internal and external customers with regards to problem solving; answers questions regarding test orders and specimen requirements.

Correctly matches patient labels and specimens and understands the importance of proper specimen identification.

Receive, match, and confirm requisition and specimen brought to the department from referring hospitals, physician offices and other health care facilities.

Correctly determines duplicate requests, incorrectly ordered tests, and properly cancelled tests and accurately cancel, credit, or re-input the proper tests.

Labels specimen with appropriate test accessioning label to prepare for testing.

Refers technical problems to a Medical Laboratory Scientist as needed.

o Maintains a positive relationship with outreach clients.

o Effectively interacts with phlebotomy and technical staff in the laboratory

regarding specimen requirements and related communication.

Applies the laboratory policy for pediatric test collection to calculate the daily maximum collection volume.

Completes esoteric testing requisitions with the correct order information and prepares for shipment of biologic specimens according to IATA regulations.

Demonstrates skill and accuracy in evaluating the integrity of specimens

Evaluates for proper type and adequate volume of specimen.

Accurately matches the order and the specimen, checking for proper labeling.

Is alert to possible sources of error and follows the Specimen Labeling Deficiency policy.

Shows competence in performing Specimen Processing procedures.

Demonstrates competence in resolving the lost specimen algorithm.

Demonstrates ability to follow procedural directions exactly.

Adds appropriate follow up work list tasks to document specimen problems or to cancel tests.

Performs client services in post-analytical processes

Calls or faxes results along with normal ranges to internal and internal customers as requested.

Scans a copy of the esoteric reference laboratory test report into the correct electronic health record.

Prepares copies of paper laboratory reports to all appropriate clinicians and accounts for distribution.

Refers esoteric test report to Medical Laboratory Scientist for critical value reporting.

Effectively uses laboratory equipment

Maintains centrifuge equipment as directed by instruction manual, laboratory policy/procedure manual and/or manager.

o Operates equipment properly. Always thoroughly reads manual before using


Utilizes hospital, clinic and laboratory computer to access reports for phoning or faxing.

Utilizes hospital, clinic and laboratory computer systems for ordering and reporting test results.

Follows other specific laboratory computer procedures.

Communicates Effectively

Effectively relates to the patient, with his total welfare as the most important goal.

Uses a pleasant and professional manner with customers and other health professionals.

Ensures that information is effectively related

Relates any additional data or information about patient or laboratory sample to ordering

Physician and/or to scientist performing the test.

Relates to Manager any supplies or equipment needed.

Reports errors of breach of confidentiality, technique, policies, procedures or processes by personnel to Manager.


Participates in any training programs as directed by Manager.

Participates in continuing education and related programs.

Instructs other employees on techniques and procedures as directed by supervisory



Maintains work area in a neat, clean and well-organized manner.

Follows all OSHA guidelines and hospital and laboratory safety procedures.

HS diploma/GED required. One year phlebotomy/laboratory experience preferred. Must possess excellent customer service skills.

Language Ability

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

Ability to speak effectively before groups of customers or employees of organization.
