The Department of Health Systems & Population Health has an outstanding opportunity for a full-time HR Associate to join the HR Shared Services team. The HR Associate will have a range of HR responsibilities in support of faculty, staff, and student HR. Working under the direction of the Manager of Staff and Student HR, and in collaboration with other members of the HR Team, this position will recruit, hire and onboard student and temporary employees and provide support to the staff HR program. This role will also manage the Clinical/Affiliate/Adjunct faculty employee population and provide support to the regular faculty HR program by facilitating faculty searches, promotions and other events that are part of the employment cycle. A key member of the HR Shared Services team, the HR Associate will provide superior customer service with excellent attention to detail to support the building of an agile, diverse, inclusive, engaged, energized, and effective workforce.

We are seeking a stellar communicator who is meticulous in tracking details, adept at juggling processes in various stages of completion, expert in managing competing priorities by employing effective time management strategies, eager to dive into the challenge of an evolving HR landscape and driven to provide fantastic client service.

Job Duties and Responsibilities:

Staff HR

  • Manage the employment cycle of temporary staff employees, and support the hire of regular staff employees, including:
  • Communicate hire process to managers and facilitate phases
  • Track hiring process from request to post-hire communications.
  • Post staff positions and sharing with listservs; manage listservs
  • Assist hiring managers and committees with candidate review, screening, and interviews
  • Track and update applicant status on the UWHires workbench
  • Coordinate hires and onboarding
  • Prepare offer and hire letters
  • Manage I-9 verification and work schedules in Workday                                                                                   
  • Provide information, guidance and support for hiring managers in developing effective onboarding plans
  • Conduct individual trainings and briefings for hiring managers and new employees
  • Create and maintain recruitment and employee files and other HR records
  • Manage costing changes for temporary employees
  • Support employee separations
  • Regularly run a variety of employment data reports and take the necessary appropriate action
  • Document standard operating procedures and maintain SOP library                                          

    Student HR

  • Manage hiring process for student appointments: create job descriptions, establish and advertise positions, manage communications with applicants, process applications, prepare offer letters, create and maintain personnel files, manage the ASE tracking spreadsheet, and manage costing changes
  • Coordinate student position budget approval with HSPop Finance and Grants manager
  • Provide up to date budget/costing allocation information to Payroll coordinator
  • Process tuition waivers for eligible student employees from fee-based programs
  • Manage student I-9 verification and work schedules in Workday
  • Maintain up-to-date knowledge of the ASE-UW contract; counsel faculty/staff/student employees on contract-related HR actions
  • Advise faculty and staff on appropriate hiring practices; maintain confidentiality of applicants
  • Develop onboarding process for student employees
  • Create training for managers of student employees

    Academic HR

  • Support Faculty HR Manager in faculty searches, new appointments, personnel actions, data management, communications, and meeting/event planning.
  • Manage appointment and onboarding of new Clinical/Affiliate/Adjunct faculty and Senior Fellows: create offer letters, prepare material for faculty meeting agenda, develop voting ballots
  • Manage the Clinical/Adjunct/Faculty spreadsheet and personnel files
  • Manage the faculty listservs and groups
  • Manage reappointment process for annual faculty
  • Prepare confidential correspondence related to faculty appointments and compensation
  • Facilitate faculty search process (liaise with candidates; arrange schedules, reservations, travel)
  • Prepare and review core faculty Chair Annual Meeting letters
  • Coordinate downloading of course evaluations every quarter and prepare course evaluation response letters on behalf of the Chair
  • Track faculty data
  • Support Faculty separations and offboarding procedures
  • Support meeting and event planning.
  • Interpret University and governmental policies and develop internal policies and procedures to ensure compliance with applicable rules and regulations in collaboration with the HR Manager
  • Other duties as assigned.

    Requirements:

  • Bachelors Degree in Human Resources, Business Administration, or a related field
  • Two years of human resources experience, preferably in an education, government, or non-profit environment
  • Demonstrated understanding of HR management principles, including recruitment, onboarding, professional development, compensation, benefits, employee relations, and employment law
  • Strong customer service orientation
  • Excellent organizational skills
  • Possess a high level of initiative
  • Ability to exercise independent judgement, use creativity in solving problems
  • Excellent interpersonal, written and verbal communication skills
  • Demonstrated experience exercising a high level of confidentiality and discretion
  • Proven accuracy and attention to detail in work products.
  • Professional level competency with general MS Office application
  • Confidence working under pressure with anticipated, unexpected, and changing deadlines affecting daily workload
  • A commitment to continuous process improvement

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    Desirable Qualifications:

  • Experience working with HRIS systems such as Workday
  • Interest in pursuing SHRM-CP or other HR certification

    Working Environmental Conditions:

    This position is eligible for a hybrid work arrangement, working remotely for two to three days per week. Deadline-driven environment, occasionally requiring extended hours to meet commitments.
