Amgen is seeking an Americas Congress Manager who will be responsible for the overall strategy, development and management of an Amgen's Global Congresses/Convention group. This position will liaison with customer preferred partners and suppliers to ensure a consistent process and customer service globally. In addition, this position will analyze operational data to identify cost savings, operational efficiencies and advise on ways to maximize return on investments, utilizing industry knowledge and bench marking to create best practices for Amgen in the Americas region. This position will report into the Senior Manager, Global Meetings & Travel of Employee Services and will work out of the Amgen Capability Center located in Tampa, Florida.

Primary Responsibilities for the manager will include the following:
  • Establishes project timeline with a work flow schedule
  • Monitors attrition dates, cancellation policies and ensures contracted services are executed
  • Communicates between Information Technology support and clients with respect to web requirements on assigned programs
  • Responsible for ongoing SOP documentation and updates
  • Partners with designated team to communicate registration and air needs and directions, status meetings and continuous communication throughout convention planning and execution
  • Coordinates all program details and production ofa event itinerary/agenda
  • Works with accounting to complete final bill reviewsprior to final invoice processing
  • Maintains accurate records, system input, and complete file management
  • Outlines strategy, communication plan, and process for assigned conventions/congresses
  • Involved inmanagement ofall program phasesincluding sourcing, contract negotiation, planning, and final bill completion, while maintaining high level of data integrity and timeliness
  • Manages and implements US approval process, and Global VP approval process, including updating weekly attendance report to VPs and ACs
  • Submits booth requests to associations and C3 for some congresses
  • Oversees and trains contracted congress and meeting suppliers on client processes and procedures
  • Ensures supplier scope of work adherence to MSA's
  • Track and report on Service Level Agreements (SLA's)
  • Provides direction to contracted Project Managers and ensure daily operations/planning needs are being met
  • Responsible for accurate program forecasting and updating business management systems with accurate financial information as needed
  • Manages overall program budget, reviews and audits all program related billing for accuracy
  • Tracks and reports expenses to clients and communicates changes to them on a consistent basis
  • May initiate and reconcile supplier payments.
  • Serves as point of contact in the areas of forecasting, costing and budgeting, and totalconvention spend
  • Analyzes financial information and determines costing strategies
  • Be a trusted adviser toclient stakeholders across multiple business units
  • Develops overall congress plans/strategy and budgets for congress stakeholders
  • Develops and reports on program metrics
  • Analyzes operational data to identify cost savings, operational efficiencies and advises on ways to maximize ROI
  • May require travel to destinations worldwide, in support of client site inspections and/or program operations. (4 Tier 1 per year)
  • Prepares/presents quarterly metrics for Global Business Services leadership team on overall activities
  • Maintains strict confidentiality of employee, financial and company records


Basic Qualifications:

Doctorate degree

OR

Master's degree & 2 years of congress management experience

OR

Bachelor's degree & 4 years of congress management experience

OR

Associate's degree & 10 years of congress management experience

OR

High school diploma / GED & 12 years of congress management experience

Preferred Qualifications:
  • Knowledge of global congress management
  • Strong project management skills
  • Excellent technology skills: MS Office, Excel, Power Point (Workday and SAP a+), Cvent
  • Ability to present complex data to diverse groups
  • Able to work in a fast paced environment where priorities may change with little advance notice
  • Must be hard working and results oriented
