Compensation: $45,000 - 55,000/annual


Role Summary:______________________________________________________________________________

This position is responsible for contributing to the operation of the Human Resources department, by providing support in Training & Development, Recruitment and HR Administration functions. This position plays a key role in maintaining all aspects of the HR function on a day-to-day basis, contributing to the success of the HR Department through support of key company initiatives.


Training and Development


  1. Plans, organizes, facilitates and orders supplies for employee development and training events.

  2. Assists the HR Director in developing a needs assessment and conducting training across all departments within the hotel.

  3. Proposes training and development programs with key learning objectives. Assists in the development of new training programs.

  4. Assists in the development of effective training materials utilizing a variety of media.

  5. Ensures all team member training, documentation and testing is completed in the required time frame.

  6. Develops and maintains organizational communications to ensure employees have knowledge of training and development events and resources.

  7. Exemplifies the desired culture and philosophies of the organization when training others.

  8. Conducts all compliance trainings including Safety training, Human Trafficking and Safety Button.

  9. Assists in creating the materials for and conducting leadership on-boarding.

  10. Tracks and maintains all training and certification records, completes periodic audits as required.




  1. Manages all aspects of the full recruitment process for all hourly and salaried positions.

  2. Works with the department managers to understand their individual needs by obtaining all relevant details of each role prior to posting.

  3. Develops a recruitment plan for each position, communicates this to the department manager.

  4. Manages the position requisition system, obtaining approval for all new positions.

  5. Maintains an open position tracker and posts to the team as new positions become available.

  6. Posts internal openings following company guidelines.

  7. Manages all internal expressions of interest and conducts initial interviews.

  8. Posts every position to relevant job boards and websites in a timely manner (indeed, zip recruiter, craigslist, industry job boards, LinkedIn, school job boards, etc.)

  9. Research and coordinate the set-up of new recruitment sources, obtaining approval from the HR Director prior to working with them.

  10. Works with recruitment vendors to maximize performance of their service.

  11. Screens all resumes and applications against determined job requirements

  12. Conducts phone interviews following the phone screening guide for all positions prior to scheduling in-person interviews

  13.  Schedules all in-person interviews with the appropriate manager(s) and greets each candidate upon arrival.

  14. Creates a day-of interview schedule for each candidate and communicates interview details with each candidate. Sends email and text confirmations to each candidate regarding their upcoming interview.

  15. Compiles all notes, resumes, applications and OADs and submits them to the interviewers for each department prior to the scheduled interview.

  16. Obtains pre-approval of all offer letters and conducts pre-employment meetings with each candidate

  17. Conducts pre-employment screenings including; drug screening, background check, reference verification, testing, MVR, etc.

  18. Maintains files on candidates and recruiting activity; prepares reports on recruiting metrics periodically. 

  19. Creates weekly recruiting re-caps for all departments and reports this information to the Director of HR during weekly meetings.

  20. Researches and attends job fairs and employer spotlights when appropriate.

  21. Ensures compliance in all job postings and recruiting efforts.

HR Administration/Compliance


  1. In the absence of the HR Coordinator, assists in maintaining the HRIS system.

  2. Monitors and assists in the creation and maintenance of all employment files ensuring organization standards are met and files are created in a timely manner.

  3. Manages the archive filing system.

  4. Reports and triggers all initial Workers Compensation claims, escalating major cases to the HR Director for management.

  5. Manages minor Workers Compensation claims by working closely with the Zenith claims manager and producing periodic follow-up reports.

  6. Maintains OSHA log system and IL-45 Forms and produces reports for monthly safety committee.

  7. Completes EEO-1 Reporting Annually.

  8. Compiles other compliance reports when requested by the HR Director.

  9. Prepares monthly and annual turnover reports. Communicates results to each department.

  10. Assist in the tracking of all items for the Management Scorecards.

Benefits, Compensation & LOA Administration


  1. Assists with Benefits Administration, questions, billing and payroll updates

  2. Assist in the processing of benefit invoices in a timely manner to ensure timely payment.

  3. Coordinates all aspects of FMLA and other LOAs. Tracks FMLA leave taken. Manages associate return to work program.

  4. Coordinates Short-Term Disability requests.

  5. Maintains the ACA Monthly records and conducts quarterly average hours reporting.

  6. Assists in compiling a periodic compensation analysis. Completes wage requests as they come in.


Associate Relations


  1. Completes 30-Day Check-Ins with all new hires. Facilitates all exit appointments, reports Exit Interview results to the HR Director.

  2. Assists in the creation, planning and execution of the monthly, quarterly and yearly Calendar of events; including executing the communication campaign for each.

  3. Creates the Monthly Department Meetings Template with contributions from Executive Leadership.

  4. Oversees Culture Committee and Safety Committee meetings monthly. Takes and communicate notes.

  5. Coordinates and plans all associate engagement events with the assistance of the Culture Committee.

  6. Assists managers and associates with HR related questions and provides an accurate and timely response.

  7. Provides guidance and support for management team when it comes to employee relations issues.  Works with the HR Director to offer advice on performance management.

  8. Oversees and tracks the performance management process including 30-day, 90-day and annual review processes

  9. Provides feedback on all performance documentation.

  10. Coordinates the Associate Opinion Survey, assists in compiling data and provides feedback to each team.

  11. Responds in a timely manner to all unemployment claims according to department standards.

  12. Assists in conducting investigations and compiling notes.

  13. Reviews associate counseling records and sits in with department managers for delivery of records, escalates heightened associate relations issues to the Director of HR.

  14.  Assist in the planning and coordination of special HR projects.



  1. Completes the Bi-Weekly Exempt Time report.

  2. Assists in the completion of Bi-Weekly payroll records as requested.

  3. Assists in conducting periodic Accrual audits.

Statement of Minimum Qualifications Needed to do the Job:

  1. Bachelors Degree in Hospitality, Business or Human Resources or equivalent experience

  2. 1-2 Years prior experience in a Human Resources role, preferably with a focus in Recruiting

  3. 1-2 Years Prior experience in the hospitality or restaurant industry preferred

  4. Operates with the highest degree of integrity and professionalism

  5. Computer proficiency in Microsoft Word, Excel, Outlook, PowerPoint, HRIS systems, and web-based job posting applications.

  6. Strong organizational and analytical skills and excellent oral and written communication skills.

  7. Understanding of Illinois and Federal employment laws

  8. Exceptional interpersonal skills and emotional intelligence that will allow you to be successful in empathizing with associates and managers and mediating situations as needed

  9. Exceptional presentation skills, ability to conduct training sessions

  10. Organized with the ability to maintain a variety of files and reports

  11. Desire to be part of a dynamic team that works in a fast-paced, evolving environment.

  12. Flexible schedule and willingness to work early mornings, evenings and weekends with or without prior notice.
