**Overview of Planning Transformation**

As part of Citis Finance Transformation efforts, the Planning Initiative is responsible for implementing a defined, integrated, agile, well-controlled, and governed end-to-end integrated forecasting approach that drives effective decision making, informs effective management of the firms resources, supports our firm wide culture and strategic priorities, and is fully integrated with strategic risk appetite, risk processes, and capital planning. The Planning Initiative team will focus on building core forecasting processes to enable central decision making and advancing the existing forecasting capabilities through automation, improved governance and enhanced controls.

Mumbai Planning Transformation Team will play a critical role in the overall planning transformation initiative. This is an excellent opportunity for someone aspiring to get exposure to working in a global environment while being based in Mumbai. The team works closely with Citi CFO, Global FP&A head, Business CFOs and Finance Function heads and other senior FP&A leads to structure and drive the transformation

**Background of the Role**

Mumbai Planning Transformation team is looking to hire an experienced Executive Assistant / Admin to support the Mumbai Planning Transformation lead and team in multiple areas as listed below. The role will be based in Mumbai.


+ Manages day to day calendar(s) of senior management and coordinates all aspects of Executive level manager appointments, meetings, Townhall, office visits and conference calls, working with stakeholders around the world and their assistants

+ Coordinates, tracks and assists Planning Transformation team members through their life cycle at Citi (Resourcing, Onboarding, Ongoing Reporting/ Tracking, Exits)

+ Coordination of Technology and Infrastructure support and ensuring resolution (e.g. solving for issues, Tracking & maintaining tech assets, support tech projects & migration / upgrades)

+ May prepare and review materials and correspondence for internal team meetings. Assist with creation / modification of presentations, spreadsheets, and other various documents if required.

+ Coordinates travel arrangements; prepare and distribute schedules/agendas for travel for the team

+ Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system

+ Orders supplies and process invoices through Procure to Pay system

+ Governance and Reporting requirements from CSIPL (LE reporting requirements).

+ Coordination with support functions on BAU requirements/issues CRS, CTS, BTSS, CSIS, etc

+ Assists in ad-hoc reports / special projects as needed

+ Ensure teams completion of mandatory trainings and Risk and Control requirements **Qualifications & Key Skills:**

+ Previous Executive admin experience for a senior executive in a large and complex multinational organization along with some office administration experience preferred

+ Proficient in Microsoft Office including Outlook, PowerPoint and Excel

+ Excellent verbal and written communication skills

+ Experience working with senior executives including calendar management, organizing day, travel management

+ Demonstrated ability to manage key tasks in a timely and organized manner, using appropriate judgment to escalate as required

+ Demonstrated ability to quickly gain command of new office systems

+ Strong ethical mindset and Integrity

+ Ability to perform daily activities with discretion.

+ Proactive, self-motivated and detail oriented

+ Ability to work collaboratively with local and global team members **Education:** Bachelor's/University degree with over 7+ years of relevant experience
