This position provides support to the Facilities Manager and assists with routine Facilties activities and special projects. Duties include, but are not limited to space planning, overseeing vendors, maintenance of office equipment, supplies and systems, invoice processing, and the maintenance of all records in support of the Facilties department.



**What You'll Do Here:**



+ Assist Facilities Manager in maintaining a fully operational, efficient and safe work environment.

+ Respond to client inquiries and complaints. Ensures timely and quality delivery to clients and follows up with client to ensure customer satisfaction.

+ Liaise with service providers for general facility requirements. Manage daily work requests.

+ Assist Facilties Manager with space planning and special projects.

+ Assist and coordinate with any special services that may be required including items such as hanging picture, minor cleaning and repairs, adjusting furniture, assisting with internal personnel relocations, replacing light bulbs, movement of boxes, equipment or other items.

+ Maintain and manage electronic security system and the issuance and tracking of access cards, keys and parking validations.

+ Perform equipment inventory and scheduled maintenance.

+ Coordinate maintenance of company-owned vehicles, where applicable

+ Maintain facilities policies and procedures that ensure the overall safety of both property and personnel.

+ Comply with all safety and OSHA regulations.

+ Maintain a clean and orderly office environment.

+ Track and maintain inventory of office and pantry supplies. Ensure pantries are properly stocked and orderly.

+ Act as support to Emergency Response Taskforce

+ Maintain accurate record of work orders and department files

+ Batch and code invoices for Facilities Manager's signature. This includes researching and analyzing issues or discrepancies.

+ Prepare routine reports and directed by Facilities Manager and/or management.

+ Assist with maintaining budget for department as directed by Facilties Manager.

+ Review daily conference room schedule and provide assistance with equipment set-up and breakdown as needed.

+ Clean/organize workstations for new hire/termed employees.

+ Provide coverage for receptionist during breaks.

+ Back-up Mailroom Assistant as needed.

+ Provide support/coverage to Facilties Manager as needed.

+ Assist with other duties as requested by Facilties Manager.



**Skills You Will Need Here:**



Basic (Required)



+ High school diploma or equivalent required.

+ Minimum of two (2) years of facilities or business related experience.

+ Must have the ability to lift up to and, at time, exceeding 70 pounds.

+ Knowledge of proper machine operations, copiers, fax machines, etc.

+ Must be detail oriented with good organizational skills and problem solving skills

+ Excellent interpersonal and customer service skills.

+ Ability to interact effectively as a member of a team and work collaboratively with other departments.

+ Ability to manage multiple tasks and work under pressure

+ Must be flexible and willing to assist with various functions.

+ Ability to listen to customer and to respond positively to their requests.

+ Proficient in Word, Excel, Powerpoint, Outlook and learn other software as required.

+ Occasional after hours and weekend work required, as needed



Preferred



+ Bachelor's degree

+ Knowledge of postal standards and regulations.
