The Executive Assistant (EA) is responsible for supporting and performing administrative duties for the Chief Development Officer (CDO), Chief Marketing Officer (CMO) and department members in the reporting line to the CDO and CMO. Responsibilities include diversified administrative and analytical support, correspondence, phone management for meetings and messages, internal and external meeting, and group scheduling and confirmations, travel arrangement coordination for domestic and international travel, expense and credit card management and reporting and other administrative and planning assignments. The EA role has discretion on priorities with scheduling conflicts.

Duties and Responsibilities:

  • Provide day-to-day administrative support to the CDO, CMO and department members in the reporting line including remote team members including scheduling professional appointments and meeting commitments in a fast-paced environment, triaging meetings and VIP communication management

  • Potential to interact with NPT Board of Trustees and staff for formal written and verbal communications

  • Plan and host guest/staff events and luncheons internally and externally.Assist with preparation of necessary information and/or supporting documentation for scheduled meetings and engagements

  • Serve as back-up to front desk for absences and breaks as needed, such as mail management

  • Serve as on-site headquarters liaison to remote Development team members

  • Work with other support staff to ensure coverage and support for all Executive Team Members

  • Preparing first drafts of presentation, agendas and meeting materials and final versions as required

  • Assist with audit documentation and confirmation

  • Manage internal and external contacts with a keen understanding of who contacts are, which are priority contacts and tracking communication and follow-up accordingly triage as new demands arise

  • Work to manage daily meeting scheduling to assure time management within a day

  • Execute and coordinate a broad variety of administrative tasks including:

    • Answer phone calls redirect as required

    • Manage email traffic

    • Set up and confirm meetings for the assigned teams

    • Coordinate itineraries, travel plans and agendas

    • Draft correspondence and reports

    • Complete expense reports

    • Prepare background information, documents and presentations for meetings

    • Maintain files

  • Complete other ad hoc projects and special assignments as required

  • As business needs require, must be flexible in managing shifting priorities that could require attention on evenings and weekends during busy business cycles

Knowledge, Skills and Abilities:

  • Bachelors degree required or relevant experience in lieu of education may be accepted

  • Minimum of 5-7 years previous experience as an executive assistant or equivalent work-related experience

  • In-depth knowledge and proficiency in MS Office, including Outlook, Excel, Word, PowerPoint, and Adobe Acrobat. Experience in Prezi, and Salesforce highly prefer as well as ability to learn other programs as required

  • Previous experience working within a financial or nonprofit/charitable organization preferred, but not required

  • Exceptional verbal and written communication skills

  • Positive attitude, emotional intelligence and flexibility

  • Detail-oriented

  • Highly organized and able to manage competing priorities

  • Resourceful team-player with a collaborative and professional demeanor

  • Demonstrated experience in handling confidential information with discretion

  • Demonstrated ability to take initiative, anticipate needs and exercise independent, sound judgment

  • Demonstrated ability to prioritize work

  • Superior client service orientation
