The Executive Administrator, HRS is an exciting opportunity to support the Vice President of Human Resources Services and members of the HRS executive staff.  The position will be responsible for proactively managing a wide range of executive and administrative duties and processes. Work multiple high priority activities concurrently that require considerable coordination, detail orientation and follow-through to meet requirements. 
Perform complex and confidential administrative duties:
  • Proactively handle HRS annual calendar, coordinating management operating reviews, face to face meeting agenda, town hall scheduling and facilitation
  • Travel requirements: book complex international and domestic travel, including hotel reservations and ground transportation; determine and obtain necessary passport/visa documentation
  • Scheduling: arrange and confirm internal and external meetings and/or conference call; maintain and manage business and personal calendars
  • Meetings: arrange meeting; invite attendees and post them on all details, including attendees, location, directions and company contact 
  • The point of contact to coordinate attendance, transportation requirements and other needs in connection with business meetings and events.
  • Ownership of all team events
  • Maintain all aspects of invoice payment and billing of HR service providers.
  • Proactively work with other administrative assistants and help support other executives as needed. 
  • Project coordinator to facilitate each phase of various projects 
  • Effective with internal and external customers at all levels.
  • Process expenses and invoices in a timely manner using Concur and SAP 
  • Support extended team members with duties as assigned
  • Help manage consolidation of data requests and files using excel

    • Minimum of 8 years€™ experience to include direct support of executive leadership staff
    • 8 years of experience with various software programs including MS PowerPoint, Excel, Outlook and Word.
    • High School degree

      • Must be willing to work extended hours/schedules as needed   
      • Must be able to assist executive in various meetings by taking actions items and follow up
      • Must be able to consolidate meeting notes / PowerPoint presentations
