The Graduate School has an outstanding opportunity for Director of Graduate Enrollment Management Services.

Reporting to the Dean of the Graduate School, the Director of Graduate Enrollment Management Services (GEMS) at the UW leads a staff of 7 full-time professional staff members who provide counseling and advising services, manages key administrative processes, and oversees essential technology systems supporting applicants, students, faculty, staff, and departmental advisors in more than 350 active degree programs on all three UW campuses. The GEMS Director serves as a member of the Graduate School Executive Staff and represents the interests of the Graduate School and graduate programs on University committees and task groups addressing admissions and graduation policies, practices, services, and systems supporting graduate education at UW.

RESPONSIBILITIES:

Staff Supervision

Manage a team of 7.0 FTE professional staff and a student employee providing daily operational support for central admissions, student academic progress, degree requirements, and graduation.
Coach, mentor, guide, and develop a team of staff as they provide excellent service to faculty, staff, students and prospective students.
Hire staff that drive excellence and push the organization to be better.
Create a highly collaborative team that works together and with other units in the Graduate School at a deep level to share knowledge, expertise, and ask for help.

Partnerships with Graduate Programs and Graduate Students

Evaluate and make decisions regarding petition appeals and policy/process disputes; provide counsel to faculty and staff regarding initial student conduct matters, and challenging graduate education issues.
Manage academic unsatisfactory progress.
Oversees staff with responsibilities mandated by the federal government for visa processing and compliance issues and student privacy regulations which have wide-ranging implications for programs and processes supporting international students.

Cross-Campus Collaborations

Represent GEMS team as a member of the Graduate School Executive Staff group.
Serve as the Graduate School liaison on university-wide committees and meetings regarding graduate student enrollment management and administrative support systems.
Serve on the Graduate Council Policy Committee in an ex-officio role and as a consultant to the elected graduate faculty on policy decisions and their implications.
Partner with the Computing and Information Resources (CAIR) team within the Graduate School to advocate for changes to MyGradProgram based on business changes and feedback from the campus graduate community.
Partner closely with the Office of Academic Affairs & Planning within the Graduate School on suspension of admissions, degree codes, and curricular changes.
Advocate for solutions that improve the graduate student experience with campus partners.
Work well and collaboratively with UW academic and/or administrative units, representing the Graduate School in all interactions.
Lead and coordinate internal and cross-campus process improvement efforts affecting the UW graduate community (e.g., enrollment confirmation deposits, automated degree audits, etc.).

Operations

Evaluate, initiate, and create Graduate School processes to improve student experience, and enhance communication between UW staff, faculty, students, prospective students and the Graduate School.
Lead the unit in providing frontline support and continuous training for departmental users (~2,800 active users) on MyGradProgram.

Supervisory Responsibilities

This position supervises 7 FTE professional staff and one student assistant.

REQUIREMENTS:

  • Bachelor's Degree

  • Seven years experience administering education policy and services

  • Five years experience working with enterprise admissions and enrollment management software applications

  • Supervisory/management experience or potential

  • Five years experience with higher education-related policies

  • Three years experience leading process improvement initiatives

  • Demonstrated experience using various modes of communication in working with diverse constituents

  • Excellent written and oral communication skills

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    DESIRED:

  • Masters degree

  • Experience in workflow management

  • Experience with MyGradProgram

  • Knowledge of federal, state, and local laws, regulations, and policies related to student records, information systems, admissions, and registration

  • Documented experience communicating with international populations in an educational setting

  • The person in this position should possess skills to present in front of large audiences and an ability to effectively lead large committees with people in high-level positions in addition to small focus groups, both of which often include faculty
