JOB SUMMARY


Athens Administrators has an immediate need for a full-time Corporate Services Receptionist to support our Concord office located on Stanwell Drive.  The schedule for this position is Monday-Friday at 37.5 hours a week.  This position will be working out of the Concord office and following all provided safety procedures.  Most other employees are not in the office currently and working from home.  The Receptionist operates a multi-line telephone system and computer software to answer incoming calls and route callers to appropriate personnel or voicemail extension.  In addition, will greets vendors, customers, job applicants and other visitors.  Provides clerical support as needed.


 


PRINCIPAL DUTIES AND RESPONSIBILITIES


Incumbent must have the skills, ability and judgment to perform the following essential job duties and responsibilities with or without reasonable accommodation:



  • Retrieve messages from general voicemail box daily and return calls to callers requesting basic information



Example: claim number, adjuster name, phone number, fax number and email address



  • Update general voicemail box greetings

  • Answer incoming phone calls, determine purpose, and forward calls to appropriate personnel or department

  • Provide callers with basic information. Example: claim number, adjuster name, phone number, fax number and email address

  • Manage two Outlook inboxes. Reply to or forward emails to appropriate personnel

  • Keep office updated on construction, safety concerns, facilities out of order, etc. via email

  • Take and deliver messages or transfer calls to voicemail when appropriate personnel is unavailable

  • Prepare and update phone and fax list on U drive and Intranet

  • Work closely with facilities team to direct service technicians, manage office repairs and update team as needed

  • Research and forward unknown faxes to appropriate personnel

  • Keep confidentiality of separations, new hires, and leaves of absence when information is provided by Human Resources before companywide announcements

  • Notify Mail Center of overnight deliveries and daily postal mail

  • Keep reception desk passwords and procedures up to date

  • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel

  • Work with I.T. on procedures of video conferencing equipment and provide assistance to employees on equipment needs

  • Manage security of the main entrance and alert Office Manager of unauthorized visitors

  • Manage and update conference room calendars

  • Responsible for keeping detailed log of loaned employee and vendor key fobs

  • Perform various clerical duties for other departments as requested

  • Other duties as assigned



ESSENTIAL JOB REQUIREMENTS


The requirements listed below are representative of the knowledge, skill, and/or ability required.



  • High school diploma required, college degree preferred

  • 2 years of experience in the field or related area preferred

  • At least one year of Receptionist experience required

  • Well-developed verbal and written communication skills

  • Strong attention to detail and the ability to research and resolve problems

  • Excellent organizational skills

  • Ability to manage multiple tasks simultaneously

  • Ability to work independently and in a group setting

  • Ability to operate standard office equipment (fax, phone, printer, scanner, etc.)

  • Ability to work in a paperless environment

  • Ability to type at least 45 wpm, accurately and for prolonged periods

  • Must demonstrate accuracy and thoroughness in work product

  • Ability to sit for prolonged periods of time

  • Infrequent lifting of up to 20lbs may be required

  • Must be able to perform tasks requiring repetitive motion and possess the manual dexterity to perform the requirements of the job.

  • Computer literate and experience navigating various computer systems, including MS Word, Excel and Outlook and database management.

  • Seeks to include innovative strategies and methods in order to provide a high level of commitment to service & results

  • Ability to learn additional computer programs

  • Communicate and interact with internal and external contacts in professional, courteous manner

  • Able to have extraordinary attendance

  • Excellent English diction, responds verbally, quickly prioritize messages, work under pressure with medium noise level, and able to sit in the same position for prolonged periods of time.

  • Ability to speak/understand Spanish language is preferred but not required

  • Ability to operate a multi-line switchboard system and software

  • Exercise discretion and maintain confidentiality
