The Division of Medical Oncology in the Department of Medicine has an outstanding opportunity for a full-time Business Manager.

The purpose of this position is to manage the research operations and administration of the Phase 1 Oncology Program.  This position reports to the Phase I Program Administrator.  Functional areas include, assisting with writing and submitting grants, research pre- and post- award operations, overseeing Clinical Trials Management Software Allegro, managing program resources for active projects, revenue cycle strategy and development, supervision of research operations staff, and participating in research planning for program development.  At any given time, up to 15 research projects may be in various stages of development and/or negotiation.  This position requires excellent skills, knowledge, and experience in clinical research coordination, per and post award management, revenue cycle development, compliance, and regulations.

Medical Oncology is a Division within the Department of Medicine.  The Division has as its primary mission, to improve cancer care by moving discoveries made in the laboratory to a clinical setting and finding new and innovative ways to use existing therapies.  Our vision is to be national leaders in oncology translational medicine.

The Division of Medical Oncology is primarily located in the Seattle Cancer Care Alliance (SCCA), on the Fred Hutchinson Cancer Research Center campus, but also has faculty and staff located at University of Washington (UW) Medical Center, Harborview Medical Center, the VA Puget Sound Health Care System, and South Lake Union.  This position interacts closely with multiple process partners, including SCCA, UW, and FHCRC clinical and administrative departments, and multiple regulatory committees.

The Phase 1 clinical research program has an annual operating budget of $5.5 million, 2 faculty and 19 research, operations, and administrative staff.  At any given time the Phase 1 Program has over 25 open studies with over 70 enrollees, which generates critical research funding and discovery mechanisms as well as bringing much-needed investigational treatments to oncology patients with few or no other options .


  • Understand and appropriately utilize multiple sources of income, including clinical trial contracts, federal grants, foundation grants, and gift accounts.
  • Assure fiscal integrity and compliance with federal, state, sponsor, and institutional policies.
  • Prepare budget proposals for grants, contracts, gifts, and operating funds requests.
  • Oversee allocation of faculty and employee salaries to appropriate project budgets
  • Oversee and approve payroll data entry and time sheet process.
  • Oversee purchasing and management of research equipment and supplies.
  • Oversee budget reconciliation and perform budget closeout and reporting processes.
  • Provide regular financial reports for investigators and administration; create budget expenditure reports for individual projects, and overall budget projections for the group.
  • Work with the Phase I Administrator and Faculty Director to develop long-term strategic objectives.
  • Negotiate assigned components of research collaboration agreements.
  • Identify new funding and collaboration opportunities.
  • Serve as Phase 1 Program expert on clinical trial budgeting and revenue cycle development, policies, and compliance.


  • Develop grant application timelines and manage pre-award grant submission process.
  • Participate in writing the assigned sections of grant applications, and in reviewing research contracts.
  • Develop clinical trial budgets and negotiate terms with industry sponsors.
  • Work with OSP to arrange sub award agreements for awarded grants.
  • Oversee post award processes of awarded grants and contracts.
  • Manage timelines, reports, renewals, and closeouts of all active grants and contracts.
  • Manage research project milestones by ensuring adequate operations staffing, timely reporting, and provision of necessary resources.
  • Assure compliance with state, federal and university regulations.
  • Other duties/projects as assigned


  • Hire operations and administrative staff; conduct performance reviews, and recommend personnel actions for employees.
  • Serve as the liaison between the program and UW Human Resources to resolve personnel issues.
  • Supervise research and finance operations group; serve as a consultant to faculty in personnel issues related to post-doctoral fellows and laboratory-based employees.
  • Oversee faculty appointment and promotion processes.
  • Assist faculty, trainees and staff members with visa applications.
  • Supervise a Program Operations Specialist, Budget Fiscal Analyst, and Fiscal Specialist 1.

  • Bachelor's Degree in biology, science or health related field AND three or more years experience in oncology medical research setting or an equivalent combination of education and experience.

  • Ability to communicate effectively with all levels of faculty, management and clinical research staff
  • Advanced skills and work experience, particularly with Excel; also with MS Office, PowerPoint, and financial software.

  • Ability to manage multiple priorities and to coordinate projects in a complex organization.
  • Must be highly organized, service-oriented, team-oriented, flexible and resourceful.  

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.


  • Knowledge of HIPAA  regulations
  • Demonstrated understanding of medical terminology
