The Health Sciences Academic Services and Facilities (HSAS&F) department within the Health Sciences Administration (HSA) supports the University of Washington (UW) mission by providing operational support and services to the Health Sciences Schools and broader UW community. HSAS&F is comprised of six service units, with responsibilities that include instructional support to the Health Sciences Schools, building management, scientific instrument service and repair, and scientific photography, visual design and poster/photo production. HSAS&F units support the UW mission for world-class education, research, and service.

HSAS&F has an opportunity for a Business & Finance Administrative Analyst. Under the direction of the Assistant Director, this position would support the department units through business system processes and financial transaction needs.

Duties and Responsibilities:
Financial Operations & Reporting:
•Customer liaison for financial transaction with HSAS&F self-sustaining units
•Regular monitoring of unit specific expenses and revenues using UW systems, including MyFD, PaymentNet, etc.
•Ensure proper allocation of costs and revenues between HSAS&F units
•Prepare self-sustaining units’ billing
•Coordinate with team to update financial processes to increase efficiencies and accuracy
•Work with unit managers’ to correct reporting and billing errors
•Assist in financial policies reviews and updates; policy resource for HSAS&F units

Business Systems Administration:
•Participate in department’s business systems quality control program to ensure data validity
•Work with unit managers’ and Systems & Applications Administrator, performing department and unit specific projects, and regular maintenance of the department’s business systems

Operational Process re-engineering:
•Participate with unit managers’ in process review and updates for various financial and business systems processes
•Implement process updates, working with department units to adopt changes
•Document and map relative processes
•Provide recommendations for process updates as the need is identified

Other projects, analysis and duties as assigned

Requirements:
Bachelor’s Degree in Business Administration, Finance, or similar areas
  • Four years or more of relevant work experience
  • Intermediate skill level with:Microsoft Office – Outlook, Word, Excel, SharePoint and PowerPoint;
  • Financial reconciliation and reporting
  • Business writing
  • Project management
  • Strong verbal and written communication skills
  • Practices professional discretion

    Demonstrate the following skills:
  • Proficiently read, write, understand and communicate in English commensurate with duties and responsibilities of this position
  • Follow written and verbal instructions and procedures
  • Present a polite, professional image of the department to both internal and external customers
  • Project manage, work planning and prioritization
  • Operate at an intermediate skill level with Microsoft Office – Outlook, Word, Excel, SharePoint and PowerPoint
  • Professional discretion when working with proprietary and sensitive information

    Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.

  • Experience with UW financial systems; Ariba, Workday, MyFD; JP Morgan
  • Experience with a Computer maintenance management system (CMMS), 25Live
  • Experience with Visio; Microsoft Project
  • Experience with process improvement methods
