The purpose of this position is to provide program management and leadership for the education activities within the Department of Anesthesiology and Pain Medicine with a focus in the Pain Division. The position focuses on the educational mission of the Department, by providing programmatic management for ACGME fellowships in the department.  This includes:  1) Pain Medicine 2) Critical Care 3) Obstetric Anesthesiology and any future ACGME fellowship programs.  This position will also provide high level support for resident education on Acute Pain Service (APS) at UWMC, HMC, and VA. The acute pain service has over 100 residents rotating every 4 weeks on the service.  As a member of the educational leadership team, this individual works closely with the Program Directors in accreditation efforts, educational programming, and support of resident and fellows.  This individual manages the day-to-day operations and serves as an important liaison with the resident/fellows, faculty and program/departmental staff, ACGME, GME office, participating sights, and other departments.  This individual will report to the Pain Division Manager and also maintain a strong matrixed reporting relationship with all the educational program directors.  Major duties of this position are:
  • ACGME Fellowship programs (Pain, Critical Care, OB/GYN other ACGME fellowships) = 70%
  • Acute Pain Service resident education = 30%

    To be successful, the education program specialist must be thoroughly knowledgeable and have the ability to interpret and manage implementation of the fellowship programs in different sub-specialties as well as across the UW Medicine system. ACGME fellowship programs are undergoing significant changes in the way they are structured, program requirements and program assessment. This individual must know and maintain up-to- date knowledge about program requirements, anticipated changes, and be able to help interpret and implement these changes.

    The individual in this position must possess a willingness to understand situations and work within parameters not wholly under their control. They must have the trust and confidence of faculty and other staff in similar positions and work well with them in solving problems. They must possess a can-do attitude and look for alternate solutions when necessary to accomplish a goal.  The mandate to train and educate is the mission of the University.  Strong Graduate Medical Education programs are essential to the continued success and reputation of the University, School of Medicine and the Department of Anesthesiology and Pain Medicine.

    Oversight and Programmatic Management of ACGME Fellowship Positions = 70%
    ACGME Fellowship Programs:
  • Develop, manage and maintain the ERAS  application process for Fellowships, ensuring all ACGME Fellowship dates are met, interviews are conducted in a timely manner, and follow-up activities completed with all candidates.
  • Ensure new fellows, residents, and medical students are brought into the program accurately, timely, and efficiently by managing any/all visa issues if any, managing the interview, appointment and credentialing processes, and managing deployment activities.
  • Knowledgeable of Accreditation Council for Graduate Medical Education (ACGME) requirements for institutional, core, and program requirements; advises program director of requirement and interpretation.
  • Develops and implements specific internal policies and procedures based upon the requirements of the specific RRC's of the ACGME for each of the programs mentioned above. Must be able to develop, implement and manage policies and procedures for each program and site location.
  • Ensures programmatic accreditation and reaccreditation is secured and that all processes around accreditation are efficient, systematized and planned so that they are completed in a timely manner. This involves sophisticated project management due to the number of requirements and individuals involved in accreditation.
  • Manage and coordinate program self-study and 10 year site visits by the ACGME.
  • Develop and manage new program aspects as proposed by ACGME or the Program Directors, including increasing the size of the program.
  • Work with the School of Medicine ACGME program administrators to complete all activities to complete all ACGME requirements and protocols;; serve as department liaison to that group.  Administer the MedHub Residency Management System for ACGME Fellowships, Data management includes all essential tracking elements of the Fellows Programs. This individual must know and understand how to manipulate data in MedHub to present accurate, thorough and understandable data to the Fellows, Program Directors, and ACGME bodies.
  • Develop and maintain clinic and call schedules for fellows, including managing of off-site rotations schedules.  Develop and implement new Fellowship procedures in compliance with ACGME, UW GME and affiliated training sites
  • Plan, develop, and implement Fellowship Program quality improvement projects; develop initiatives to address concerns.
  • Monitor and ensure compliance to the programs policies. Such policies include duty hours, effects of leave on board eligibility and similar;
  • Use tools to help assess Fellow morale and bring concerns to Program Directors.
  • Respond to Fellow concerns; consult with PD, and GME Office as necessary;
  • Manage confidential and critical materials, issues and communications, including confidential trainee files.
  • Oversee and manage program funds including reimbursements and purchases per department and GME policies.
  • Coordinate and schedule Training Program meetings and Fellowship events:
  • Oversee development and maintenance of fellowship recruitment and informational web sites

    Oversight and Programmatic Management Anesthesiology Pain Service (APS) Resident Education = 30%
    APS resident education:
  • In collaboration with program director develop and implement educational content and evaluations for residents rotating through the APS service.
  • Collaborate and communicate with education office on resident education on the acute pain service.   
  • Coordinate and communicate with trainees regarding orientation prior to rotation start dates for all levels and sites.
  • Coordinate faculty schedules for daily resident pain didactics; communicate with trainees schedule and updates to the resident pain didactics.
  • Provide self-directed learning exercises to trainees and ensure compliance
  • Manage all aspects of residency interviews and rotations in Pain Service; closely collaborate with APM Residency Administrator
  • Manage pain rotation resident assignments and vacation schedules to ensure appropriate coverage at all sites, request jeopardy resident coverage when appropriate;
  • Ensure residents have full access to all systems for receiving Pain Education training materials; provide direction and assistance in all aspects of their pain rotations.

    Education: BA in Business, Education, Health Sciences or similar
    Type and Years of Experience: 2-3 years of experience in program management, preferably medical education

    Other Required Qualifications
  • Excellent communication skills both written and verbal;
  • Ability to communicate well with learners and faculty;
  • Attention to detail;
  • Able to prioritize projects and tasks;
  • Demonstrated ability to use Microsoft suite of services: Outlook, Word, Excel and Powerpoint.
  • Ability to understand complex rules and interpret them to others.

    Desired Qualifications
  • Experienced with MedHub and Evalue resident/fellow and student database system.
  • Experience with ACGME accreditation policies
