UWMC Administration has an outstanding opportunity for an Administrative Specialist.  This individual will provide executive level assistance and administrative support to members of the Executive Leadership Team for the University of Washington Medical Center (UWMC). Organizes and manages the overall business affairs of assigned Associates. Responsible for providing overall support of the administrative operations, systems and resources which support the Associate's department.

Confidential liaison for assigned Associates.

Maintains complex calendar, screens assigned Associate’s electronic mail and correspondence and communicates time-sensitive information; independently responds to author with requests for written or reporting tasks as deemed appropriate. Independently requests follow-up and action as warranted and establishes priorities, ensuring that all official and social obligations are met and materials are prepared to meet professional commitments.

Independently delegates incoming correspondence to other administrators and department managers for response and/or action and provides significant support in the development, implementation and interpretation of medical center policies, programs, goals and objectives.

Consistently provides medical center executive management with the administrative oversight necessary to stay abreast of factors internal and external to the hospital. Ensures timely and effective communication between executive leadership and key customers. Translates and articulates senior leadership’s vision, values, and mission for the organization. Exercises independent judgment in responding to a wide variety of non-routine matters. Performs other related duties as assigned.

Responsible for project coordination between Associate Administrators, Directors, Managers, and Department Heads with the Associate's Office. In addition, this position requires a commitment to excellent customer service to ensure expectations are met within the many interdependent relationships.

Responsible for analyzing and prioritizing the functions that need to be performed by the assigned Associate's Office to ensure compliance with The Joint Commission requirements, Department of Health standards, and medical center approved policies and procedures. Follows up on all reports from regulatory agencies such as state and county health departments, The Joint Commission, etc., and coordinates responses to assure compliance within the required time frames.

Arranges and coordinates administrative aspects of projects for services the medical center shares with other hospitals and health care providers, including personnel, management information systems, laundry, marketing and financial services, to ensure continued quality interface with these services and operations. 


Bachelor’s degree in Business Administration AND 4-5 years of progressively responsible administrative/management experience in a large, complex organization.

Basic computer knowledge. Ability to handle executive level confidential information with high level of tact, discretion and diplomacy. Ability to work under pressure of frequent deadlines, constant interruption, and changing priorities in a high volume academic setting. Excellent oral and written communication skills, including demonstrated competency in preparation of correspondence, written reports, and minute taking. Proficiency with MS Word for Windows, Electronic Calendar, Email, Excel, and PowerPoint (or comparable graphics software). 

An equivalent combination of education and experience may substitute for stated requirements. 


Two years of experience providing executive-level support in a health care/higher education setting preferred.
