The Center for Statistics and the Social Sciences was founded in 1999 with the triple mission of galvanizing collaborative research between social scientists and statisticians, developing graduate courses for social science students, and enhancing undergraduate statistics training for the social sciences. CSSS was the first center in the nation devoted to the interface of statistics and the social sciences.

Since its founding CSSS has developed into an established component of the University of Washington's research and training environment, with strong ties to the Statistics department, social science departments, and other UW departments and units across campus. Currently four members of the UW faculty are designated as CSSS Core faculty members, while close to 100 others are affiliated with CSSS.

CSSS has an outstanding opportunity for an Administrative Assistant 3 position. The Administrative Assistant 3 will report to the Administrator and provide a variety of program support functions in the administration of the Center.   This position requires strong organizational skills, attention to detail, and a commitment to customer service.

  • Provide operational support including: purchasing, travel, equipment inventory, building key distribution, equipment checking, answering phones and CSSS main email, distributing mail, greeting external visitors, ordering supplies, maintaining suite of offices including the conference room and its schedule, and serving as HCM 2 for CSSS in Workday HR/Payroll.
  • Coordinate CSSS curriculum including entering and updating the time schedule. Work with Instructors and partner departments to support CSSS courses, including ordering books and evaluations, distributing add codes, and resolving any issues. Serve as point-person for hiring student employees for Assistantship positions.
  • Responsible for arrangements for Center meetings, seminars, and events including: researching and reserving UW or off-site meeting facilities; composing, editing, assembling, and distributing meeting materials; arranging posters, arranging meals, attending meetings and events to provide support as needed.
  • Coordinate Centers communications including: updating website, composing correspondence and emails to affiliate faculty and students, managing mailman lists, and editing program materials for accuracy, appearance, and readability.
  • Make travel arrangements, including conference registration, airline, hotel, and car rental reservations. Process and track travel and other reimbursements.
  • Maintain program budget files; review documentation for completeness; follow up on missing materials; reconcile transaction documentation to budget charges.
  • Other duties as requested.

    High school graduation or equivalent AND two years of experience in administrative support, OR equivalent education/experience.

  • Ability to work independently, prioritize and manage multiple tasks, and maintain flexibility when dealing with shifting priorities
  • Ability to maintain a high degree of confidentiality
  • Excellent Microsoft Outlook, Word, and Excel and general computer skills

  • Experience with UW administrative systems:  especially Workday, Time Schedule Construction and Time Schedule Update, SDB, Ariba, MyFD, Procard, SAGE
