Position Summary

Perform high level of administrative support to general counsel and members of the presidents office. Assist the director of special events in the planning and implementation of UCAs leadership events.

Job Duties and Responsibilities

Serve as a liaison between the presidents office/general counsel and a wide range of individuals and organizations, both internal and external to the university
Provide support for contracts, budgetary processes, requisitions, reimbursements, hiring processes, travel, and inventory
Work closely with the presidents office to plan and execute leadership events
Prepare and manage event budgets. Ensure detailed financial information for fiscal control purposes and compliance with universitys and Foundations accounting, cashiering, and audit
Review pre- and post-event details, assess opportunities and make recommendations for improving service to internal and external constituencies, and implement improvements as appropriate
Possess good decision-making skills, attention to the details of organization, communication and follow-through
Possess ability to anticipate problems, exercise independent judgment and respond quickly and appropriately, and to advise office administrators accordingly
Ensure security, integrity and confidentiality of data
Assist in the research, analysis and preparation of reports
Display professional maturity and judgment, including exceptional discretion, confident communications skills, and a capacity for resourceful initiative in a team context
Participate in ongoing training and development activities as appropriate
Perform other duties as assigned

Knowledge, Skills, and Abilities

Strong working knowledge of computers, Google Suite, Microsoft Word, Banner 9, and/or other software applications currently used by the office
Ability to evaluate operational effectiveness and compliance
Effectively build rapport and develop and maintain effective working relationships with people at all levels both within and outside the university community
Understanding of, and sensitivity to, the needs of a diverse university environment
Ability to develop and implement goals, objectives, guidelines, policies and procedures
Experience in a position that demonstrates the ability to work independently, solve problems, and exercise mature judgment required
Strong verbal, written communication and organization skills
Ability to manage multiple priorities with frequent interruption and remain calm under pressure
