Sr. Executive Assistant

The Senior Executive Assistant will support multiple leaders and will actively work on projects of diverse scope where work is dependent upon the collaboration with functional partners in Finance, on the Executive Team and Human Resources. This person will be responsible to efficiently maintain the administrative and operational needs of the facility and Sr. Leadership as required but not limited to the following:


  • Serve as the first point of contact for a wide variety of high-level relationships for CEO, VPs and Directors with both internal & external clients.

  • Assist with the day-to-day operation of the office, including updating automated supply. ordering, distributing mail, answering the door and ensuring office cleanliness.

  • Prioritize and arrange meetings and appointments and provide reminders to key leaders as needed.

  • Make travel arrangements for C-Level employees, arrange itineraries and keep track of schedules.

  • Assist with producing reports, creating presentations and briefs for the Board of Directors.

  • Leverage various systems to pull financial and human resources data as requested.

  • Answer and screen telephone calls and visitors in a professional manner.

  • Take accurate messages with a high degree of professionalism and courtesy and arrange meetings and/or conference calls as needed.

  • Exercise considerable judgment and discretion in handling requests for appointments and telephone calls.

  • Review and respond to daily internal/external mail and overnight packages; prepares and distributes daily mail.

  • Compose, type and distribute professional correspondence, scans and e-mails using individual initiative and as assigned.

  • Balance conflicting priorities to manage workflow, ensure the completion of essential projects, and meet critical deadlines.

  • Ensure key leaders are prepared for upcoming appointments by gathering materials necessary for each meeting.

  • Assists with planning and ordering food and orchestrate the set up and clean up for all company functions, including Friday lunches, onsite training and business meetings.

  • Ensure office efficiency is maintained by carrying out planning and execution of facilities management, layouts and office systems.

  • Work with building management, office management, Corporate Real Estate and outside vendors to arrange for repairs and maintenance relative to office furnishings, fixtures, equipment and space.

  • Responsible for developing and implementing office procedures and standards as a guide to ensure efficient operation of the office.

  • Partner with the Human Resources Team to assist with the Safety protocols for the office, including OSHA postings, Office Safety Team, evacuations and annual MVR reviews.

  • Schedule and coordinate leadership onsite interviews and process pre-employment screenings as needed.

  • Work as a member of the team, willingly providing backup support for coworkers when appropriate and actively supporting group goals.

  • Works on additional projects as assigned.

  • 5+ years of previous administrative experience

  • Experience and comfortability working in a high paced office environment

  • Bachelors degree preferred, but not required

  • PC and Microsoft Office proficient

  • Proven administrative and organizational skills, the ability to multi-task, manage workload, and effectively prioritize in a continuously changing environment

  • Ability to assume responsibility and work independently with minimal supervision

  • Ability to meet deadlines and balance multiple priorities

  • Must possess strong organizational, problem-solving, and follow-through skills to complete projects in a timely manner

  • Excellent verbal and written communication skills with ability to effectively interact with all levels within and outside the organization
