**Job Location:** United States : Rhode Island : Warwick, RI

**Role Value Proposition:**

This job is responsible for providing legal administrative assistance to the Litigation and Property & Casualty business line attorneys as well as other areas within Legal Affairs who work in the Warwick, Rhode Island office.

**Key Responsibilities:**

+ Effectively communicate with business partners and Law Department colleagues scheduling meetings and/or delivering documents/information

+ Maintaining calendars, including scheduling appointments and meetings with internal and external associates, vendors and their assistants

+ Answering telephones, routing inquiries to appropriate contact and/or department(s) promptly and efficiently

+ Assisting with the processing of invoices

+ Creating Legal Holds and generating related reports

+ Maintaining attendance and timekeeping records for attorneys

+ Scheduling business related travel and submit receipts for reimbursement promptly

+ Performing a wide range of administrative support tasks such as opening and distributing mail, organizing and maintaining paper and electronic entity files, ordering office supplies, scanning, photocopying and facsimile

+ Using skills to enter and review incoming insurance related documents from various systems and applications, for accuracy to update records, obtain information, and respond to routine inquiries referring more complex issues for additional handling

+ Maintaining and prioritizing files of several attorneys according to standard procedures

+ Preparing files/records for offsite storage to comply with retention schedules

+ Serving as a back-up for other administrative assistants as necessary

**Essential Business Experience and Technical Skills:**

+ Experience working in a law firm or insurance company legal department is preferable

+ Effective interpersonal, organizational and communication skills to resolve daily issues, answer frequently asked questions and ability to judge the right time to escalate more complex issues

+ Demonstrate ability to discretely handle sensitive and confidential information

+ Candidate must be technologically savvy, adaptable and trainable with database management skills including querying, reporting and document generation

+ Proficient in MS Word 2010, Outlook, Excel, PowerPoint, Adobe Acrobat and Fusion


+ 3+ years administrative assistant experience preferably with Legal Affairs Departments in similar environments

+ Must manage own performance independently and effectively, be detail oriented and well organized with excellent time management skills

+ Ability to work in fast paced business environment


+ At least one year higher education

+ High School diploma
