**Role Value Proposition:**

This position is responsible for providing a high level of administrative support to a senior level officer responsible for a large Operations group. The successful candidate will have strong attention to detail, a proactive and outstanding service orientation to their work, the ability to prioritize workload and multi-task in an environment that requires frequent change. This individual must be able to work independently with minimal supervision and demonstrate excellent interpersonal and communication skills, both verbal and written. As well, s/he is expected to maintain confidentiality and exhibit a high level of discretion and professionalism at all levels of interactions internally and externally.

**Key Responsibilities:**

+ Manage Microsoft Outlook calendar, inbox, and address books; respond to incoming telephone calls, routing inquiries as appropriate.

+ Schedule and coordinate internal and external meetings/events/conference calls/Web-ex presentations; anticipate and provide relevant materials/correspondence to meeting participants as needed.

+ Arrange and coordinate travel itineraries with extended support for their directs as needed.

+ Process expense reports and vendor invoices for reimbursement/payments and reconciliation for direct managers, and to their directs as appropriate.

+ Interface with senior leaders, executive assistants of senior leaders, at all levels of the organization, both within and outside the company.

+ Prepare and/or coordinate memoranda, presentations, reports and spreadsheets by creating templates and format, creating first draft (as necessary) and editing text, slides and other materials.

+ Exceptional customer service capabilities, demonstrated ability to work to a high quality standard.

+ Outstanding attention to detail with good follow-up skills, proactive, stays ahead of requests.

+ Strong team player, seen as the go to person for administrative and troubleshooting assistance.

+ Strong organization skills


+ Prior executive assistant experience

+ Professional presence, able to build and sustain strong working partnerships through good communications skills and engagement in broader team goals.

+ Extensive knowledge of MS Office tools (Word, Excel, PowerPoint, WebEx and file sharing such as Box, Sharepoint, etc.).
