**Job Location:** Whippany, NJ







**Role Value Proposition:**







The Executive Assistant (EA) will provide administrative support to the Senior Vice President of IT Investments and additional Leadership positions within Investments Technology







**Key Responsibilities:**







+ Calendar Management including scheduling and maintaining of appointments and meetings, coordinating calendars of multiple individuals to avoid conflicts, and learning of critical meetings and associates to help with prioritization decisions.



+ Scheduling travel to/from business trips including airfare, hotels, car service etc. and taking initiative to collect receipts and submit reimbursement requests promptly.



+ Work collaboratively with the other executive assistants within the business



+ Professionally answers telephones, directs inquiries as appropriate, routes call to appropriate party for prompt and efficient resolution.



+ Drafting and revising correspondence and assisting with the preparation and distribution of various presentation materials including aggregating materials and formatting.



+ Manages a wide range of administrative support tasks and provides general administrative assistance as necessary.



+ Coordinates department's administrative activities; may recommend improvements to administrative procedures.



+ Maintains documents and records following administrative policies.



+ Performs other duties as required or assigned.







**Essential Business Experience and Technical Skills:**







Required Qualifications







+ 7+ years of administrative experience



+ Demonstrate tact, integrity and capacity for discreetly handling sensitive and confidential information



+ Strong capacity to manage own performance independently and effectively, exhibiting excellent time management, strong organization and detail orientation.



+ Proven sense of urgency, with the ability to identify and articulate issues, offer solutions and follow-through to resolution.



+ Solid oral and written communications skills, including the ability to draft well-written correspondence.







**Preferred Qualifications**







+ Highly collaborative and team focus, with the ability to work with individuals at all levels of the organization.



+ Customer-centric orientation focused on anticipating and meeting internal partner and external customer needs.



+ Ability to maintain professionalism under pressure.



+ Strong software knowledge including all Microsoft Office programs.



+ Ability to stretch outside of EA responsibilities when bandwidth becomes available
