**Role Value Proposition:**

This position seeks a self-motivated, ambitious, and energetic individual to provide administrative support for the Senior Vice President of IT Service Operations.

**Key Responsibilities:**

+ Schedule and maintain complex calendars of appointments and meetings and coordinate related arrangements.

+ Coordinate and manage travel (international and U.S.), itineraries, and the visa process.

+ Be available off hours for support during travel and critical management meetings (within reason).

+ Screen calls, answer questions and direct more complex inquiries to the appropriate party promptly and efficiently.

+ Complete and submit expense reports on a timely and accurate basis.

+ Assist with the preparation and distribution of various reports and presentation materials.

+ Proactively prepare leaders for meetings, anticipate needs of the team on a daily basis.

+ Attend critical management meetings and take actions and meeting minutes.

+ Follow up on management meeting action items and proactively manage SVP communication schedule.

+ Maintaining attendance and timekeeping records.

+ Serving as the business continuity coordinator and controlling access to departmental share drives.

+ Creating and managing files.

+ Prioritizing and managing multiple assignments, following through on issues promptly and effectively.

+ Coordinating and managing departmental recognition events

+ Providing other general administrative assistance and support as necessary.

+ Track deliverables, screening calls, resolving inquiries and direct inquiries appropriately

+ Executing office manager responsibilities by assisting in the Onboarding/Off boarding/Hiring process, maintaining attendance records, and timely submission of expense reports.

**Essential Business Experience and Technical Skills:**


+ High school diploma

+ 5+ years of experience as an administrative assistant

+ Strong capacity to manage own performance independently and effectively, exhibiting excellent time management, strong organization and detail orientation.

+ Proven sense of urgency, with the ability to identify and articulate issues, offer solutions and follow-through to resolution.

+ Demonstrated tact, capacity for discreetly handling sensitive and confidential information and ability to maintain professionalism under pressure.

+ High collaboration and team focus, with the ability to work with individuals at all levels of the organization.

+ Customer-centric orientation focused on anticipating and meeting internal partner and external customer needs.

+ Solid oral and written communication skills, including the ability to draft well-written correspondence.

+ Proficiency in Outlook calendaring, MS Word, PowerPoint, Excel and Adobe Acrobat.


+ Associates / Bachelors degree or other related certification / training
