**Job Description:**

**Position Overview**

Prepares complex reports, correspondence, and/or statistics. Maintains records and filing systems; types and/or enters data into computer systems, including word processing, spreadsheet, presentation, database, or specialized software packages. Performs the administration of programs, projects, and/or processes specific to the organizational unit served.


Oversees the day to day administrative operation of a branch, district or region office. Provides leadership and coordination of the following company programs or office activities: general administrative support, Human Resource and Finance documentation, facility management and maintenance, vehicle/fleet administration, computers, cell phones, credit cards, security clearance and safety programs, office equipment maintenance, petty cash, required office and employee licensing administration, etc.

Manages or oversees management of all day to day office administration activities. Independently ensures all tasks are completed, facilities and equipment maintained to ensure smooth running of the office. Activities include compilation and analysis of information for inclusion in reports or presentation materials, physical facility maintained, telephones supported, travel, hotel, meeting and refreshments arranged, and office equipment operational as directed. May manage or ensure the completion of local financial and/or payroll record keeping, reporting and auditing tasks as assigned.

Supports location management in ensuring customer satisfaction. Manages or oversees completion of all human resources tasks for the location including new hire orientation and documentation (i.e. employee licensing administration, I9 and other required new hire forms.), workers compensation, OSHA reporting, etc. Sets up new employees with tools such as desks, computers, uniforms, safety equipment, phones, business cards, fleet arrangements and other activities as needed. Sets up and maintains local employee files as assigned by location management. Assists in the development of programs and projects to fulfill department requirements including but not limited to such items as alternate approaches, financial justification, best practices, state of the art equipment selection, program plans, project management, etc.

Chooses, contracts with and manages vendors for various office services including cleaning, plumbers, electricians, fax, copiers, vending machines, exterminators, etc. Supervises or works with information systems to ensure office networks, computers and access remains at an optimal level. May act as a team leader or supervisor by providing guidance, direction and mentoring to other support staff including warehouse, administrative, reception, temporary and other personnel.

Monitors or oversees those who maintain inventory levels of office and departmental supplies, initiates purchase orders as necessary to meet department office supply needs. Ensures the receipt and distribution of incoming and outgoing mail for the office on a timely basis. Ensure continuous optimal phone coverage.

Acts as key contact within the office for communicating and posting required employment documents and other information from home office or local government. Acts as contact for local government officials, vendors, and local community support organizations. Plans and manages local company events such blood drives, company picnics, holiday parties and other events as directed.

**Required Knowledge/Skills, Education and Experience**

Associates degree required in Business Administration, Management or related subject.

3 to 5 years office management process knowledge required.

Requires regular use of business or specialized vocabulary and a strong knowledge of company operations, organizational procedures and personnel.

Relieves management of administrative detail.

Within established guidelines, makes independent decisions regarding planning, organizing and scheduling of work and/or facility maintenance.

Regularly handles confidential materials and matters.
