Your Opportunity

This position will serve the senior vice president of product and services and the vice president of marketing and industry relations. Responsibilities will include responsibilities as noted below:

  • Manage daily schedule and appointment calendars for SVP, including meeting notices and agendas and preparing materials for day(s) ahead. Resolve scheduling conflicts in a timely manner and issue new meeting notices, often involving external personnel and locations.
  • Receive and screen telephone calls and voicemail and respond to requests for the SVP
  • Schedule travel and process Travel and Expense Reports for both executives.
  • Maintain organizational chart, distribution lists, vacation schedule, travel schedule, emergency contact list, phone list and other information as needed for both executives.
  • Oversee the HR and Training onboarding process for all new hires within both teams.
  • Maintain overall efficiency and throughput, including resolving IT issues or upgrades.
  • Coordinate and assist with department meeting logistics, etc.
  • Responsible for general office management and organization onsite at Home Office. Maintain office filing system and record retention, responding to scheduling changes and urgent requests or other tasks while the executives are in meetings or away from the office.
  • Assist with the inbound calls on the main business phone line as needed.
  • Create, modify and distribute documents, print, photocopy, and scan documents as needed.
  • Process all invoices with the Accounts Payable department for both teams.
  • Oversee the administration of the annual budgeting process.
  • Other adhoc administrative tasks/assignments as per business needs

Successful candidates must possess the following:

  • A minimum of two years of administrative experience required
  • Excellent verbal and written communication skills.
  • Exceptional analytical, organization and time management skills
  • Attention to detail
  • Ability to adapt on a daily basis to a fast paced environment
  • Ability to multi-task & meet deadlines
  • Positive attitude about providing excellent customer service to colleagues and customers
  • Computer and internet skills to include proficiency in general business software including:
    1. Google software, specifically Google Drive
    2. Microsoft Office, specifically Word and Excel
    3. Meeting software such as Zoom/Google
    4. A/P software knowledge preferred
    5. CRM software knowledge preferred
