**Job Description:**


We are looking for a well-organized, motivated team player to work with our branch team. This position reports directly to the branch manager. Typical duties will be to provide support to a busy leadership team with, administration, documentation, scheduling , maintaining calendars, financial expense support, coordination of meetings and conferences, minute taking and working on special projects. The incumbent will also answer non-routine correspondence and assemble confidential and sensitive information. They will deal with a diverse group of visitors as well as internal contacts at all levels of the organization. They will have a positive influence on the office area by supporting and driving local initiatives and events. The incumbent will need to use their judgment to plan, prioritize and organize diversified workload as well as recommend positive changes in office methods and procedures.

**Summary Role Description:**

+ Scheduling and organizing activities such as meetings, travel, conferences and department activities for the members of the leadership team.

+ Creating and developing visual presentations for the leadership team.

+ Be the point of contact and responsible party for fleet administration.

+ Be the point of contact for local safety planning and information.

+ Organizing and prioritizing large volumes of information and calls.

+ Be a go to point, fielding and answering all routine and non-routine questions.

+ Working on special projects.

+ Placing orders for stationery, office materials and office hardware

+ Reconciling Directors expense and travel reports

+ Organizing and maintaining share drives to assure efficiency and coordination of data.

+ Preparing and designing charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

+ Utilizing their computer proficiency to support the leadership team, including MS Office, SRM (indirect purchase orders), EZ-X (Expenses), aspects of SAP (ERP system), recruitment software, SharePoint etc.

+ Have excellent project and time management that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

+ Use their interpersonal and communication skills to build relationships with stakeholders

+ Utilize their strong problem solving and planning skills

+ When required, work flexible hours as needed

+ Leverage their knowledge of standard office practice and procedures to be able to process various types of paperwork associated with office support

+ Use their proven ability to work well in a highly matrixed organization, and with managers and employees of all levels in advising and gathering, preparing and vetting material in a poised and tactful manner.

+ Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.

+ Creates and develops visual presentations for Local Leadership and sales team.

+ Organizes and prioritizes large volumes of information and calls.

+ Fields/answers all routine and non-routine questions/calls.

+ Acts as a liaison with other departments and outside agencies, including high-level staff. Handles confidential and non-routine information and explains policies when necessary.

+ Types and designs charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
